Job Details
We are seeking a highly organized, proactive, and resourceful Senior Administrative Assistant with a strong emphasis on event planning and investor relations support. This role will be responsible for planning and executing all aspects of investor events, coordinating complex travel arrangements, and providing high-level administrative support to our leadership team. The ideal candidate thrives in a start-up environment, enjoys wearing multiple hats, and takes pride in delivering an outstanding experience for our investors.
* Plan, coordinate, and execute 2–3 investor-focused events per month for groups of up to 100 attendees, including venue sourcing, vendor selection, contract negotiations, catering arrangements, A/V setup, and on-site logistics. * Develop and maintain detailed event timelines, budgets, and checklists to ensure flawless execution. * Draft, design, and distribute invitations to investors and key stakeholders; manage RSVP lists and track attendance. * Serve as primary point of contact for guests, providing a professional and welcoming experience before, during, and after events. * Coordinate post-event follow-up, including surveys, thank-you notes, and reporting.
Administrative Support:
* Provide senior-level administrative support to executives, including complex calendar management, scheduling internal and external meetings, and preparing materials and presentations as needed. * Coordinate domestic and international travel arrangements, including flights, accommodations, ground transportation, and expense reporting. * Prepare and proofread correspondence, reports, and other documents with a high degree of accuracy and professionalism. * Maintain organized electronic and paper filing systems to ensure easy access to critical information. * Assist with special projects and tasks as assigned, demonstrating initiative and flexibility in taking on new responsibilities.
Skills & Qualifications:
* 3–5 years of experience as an administrative assistant with a strong focus on event planning; experience within real estate, real estate investment, or financial services strongly preferred. * Proven track record of planning and executing successful high-touch events for external stakeholders. * Exceptional communication and interpersonal skills, with the ability to interact confidently and professionally with executives, investors, and vendors. * Strong multi-tasking abilities and comfort working under tight deadlines in a fast-paced, start-up environment. * High level of resourcefulness and problem-solving skills; able to anticipate needs and take initiative. * Strong technology proficiency, including MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with event management or CRM tools. * Impeccable attention to detail, organizational skills, and a commitment to maintaining confidentiality.
