Position Overview
We seek a highly skilled and proactive Executive Administrative Assistant to support our CEO and other executive team members in a dynamic and fast-paced environment. This role is critical to ensuring the seamless execution of executive operations, including heavy calendaring, travel coordination, expense reporting, and high-profile event management.
The ideal candidate is a self-starter with exceptional organizational skills, impeccable professionalism, and the ability to maintain strict confidentiality. They will thrive in a collaborative, fast-growing environment and bring a proactive approach to problem-solving with minimal guidance.
Key Responsibilities
Executive Support
* Provide comprehensive administrative support to the CEO, including heavy calendaring, travel planning, and expense management. * Offer lighter support for the Executive Vice President of People and the CFO, including calendaring and travel coordination, and expense reporting.
Board and Meeting Coordination
* Create and refine slide decks for board presentations and Quarterly Business Review meetings. * Schedule, coordinate, and manage all logistics for board meetings, including travel arrangements, venue preparation, catering, and other dining reservations. * Organize and manage scheduling and arrangements for Quarterly Business Reviews (QBRs).
Event Planning and Coordination
* Plan and coordinate logistics for all-company meetings and other company-wide events.
Administrative Excellence
* Maintain confidentiality and professionalism in handling sensitive information. * Manage multiple priorities and execute with efficiency and accuracy. * Work independently to anticipate needs, resolve challenges, and drive initiatives forward.
Qualifications
* Proven experience as an Executive Assistant supporting senior-level executives. * Exceptional organizational and time-management skills, with the ability to prioritize and adapt in a fast-paced environment. * Strong proficiency in Microsoft Office Suite, including PowerPoint for presentation creation. * Demonstrated ability to handle confidential information with integrity and discretion. * Excellent written and verbal communication skills. * A self-starter mindset with a proactive approach to problem-solving and a track record of working independently with minimal supervision. * Experience coordinating events or managing logistics for meetings is a plus.
