UNDERSTANDING THE ROLE We are seeking a self-motivated, reliable, friendly, and detail-oriented Executive Assistant to join our very supportive and positive team working in concert with our western region team. The Executive Assistant will schedule meetings, coordinate travel, process expenses, manage vendor relationships, and offer additional support to two executives, as needed.   To qualify for this position, you must have the ability to quickly learn and understand new procedures and software, follow instructions, and meet deadlines. You must be a self-starter, a team player, and be highly resourceful. RESPONSIBILITIES Provide scheduling, travel, and expense processing support to up to regional executives; areas of focus include: Interfacing with internal and external audiences to schedule meetings Managing the complex calendars of two members of the executive team Prepare/gather all documents necessary for executive meetings Making travel and hotel reservations, including tracking airline credits and rewards programs Preparing timeline expense reports and cash reimbursement requests Create research profiles and briefings to prepare leadership for upcoming meetings Edit, format, and proof documents as needed Manage day-to-day operations, including taking calls, interfacing with clients and CCS personnel, and responding to emails Manage vendor relationships Manage day-to-day office needs two days per week Maintain supplies and office equipment (service and supplies) Perform administrative tasks as required, including arranging for printing of materials Set up and manage client visits to the San Francisco office Develop and sustain a level of professionalism and confidentiality, among staff and clientele, consistent with the firm’s mission and values Draft and send emails on behalf of executive team members Additional duties as assigned QUALIFICATIONS   Prior experience serving as an Executive Assistant, or in similarly focused position Proficient with MS Word, PowerPoint, Excel and Outlook High attention to detail Deadline-oriented Strong organizational, project management, and problem-solving skills Ability to multitask effectively within normal time constraints Friendly and professional demeanor Ability to lift 25 pounds as needed Experience with Concur and NetSuite or other databases a plus CCS offers competitive benefits, a dynamic training program, resources, career advancement, mentoring, and networking opportunities.
