Position Summary:
A highly skilled and professional Executive Assistant (EA) is sought to provide comprehensive administrative and strategic support to senior-level executives. This individual will act as a trusted partner, facilitating the seamless execution of daily operations, managing high-priority tasks, and upholding confidentiality while fostering effective communication across internal and external stakeholders. The ideal candidate is proactive, detail-oriented, and excels in managing complex schedules, projects, and communications in a fast-paced environment.
Key Responsibilities:
Executive Support:
+ Provide high-level administrative support to senior executives, including calendar management, meeting coordination, and travel arrangements.
+ Prepare, edit, and manage correspondence, presentations, and reports with precision and professionalism.
+ Act as the first point of contact, screening and prioritizing incoming communications and requests.
Scheduling and Coordination:
+ Manage complex and dynamic schedules, ensuring alignment with business priorities and minimizing conflicts.
+ Organize and coordinate meetings, conferences, and events, including preparing agendas, materials, and follow-up action items.
+ Project Management:
+ Assist in planning and managing special projects, ensuring deadlines and objectives are met.
+ Track deliverables and facilitate cross-functional team collaboration when applicable.
Relationship Management:
+ Serve as a liaison between executives, employees, clients, and external stakeholders.
+ Build and maintain relationships that reflect the company's values of integrity, inclusion, innovation, and commitment to success.
Confidentiality and Discretion:
+ Manage sensitive information with a high degree of confidentiality and professionalism.
+ Exercise sound judgment in handling complex and highly confidential matters.
Administrative Processes and Tools:
+ Manage expense reports, budget tracking, and other administrative tasks.
+ Use advanced knowledge of Microsoft Office Suite and other relevant tools to optimize efficiency.
+ Continuously identify and implement process improvements to enhance executive support.
Requirements
Qualifications:
+ Education: Bachelor's degree or equivalent experience preferred.
+ Experience:
+ Minimum of 3 years of experience as an Executive Assistant supporting C-suite or senior leaders.
+ Prior experience in a fast-paced, corporate environment is a plus.
+ Skills:
+ Exceptional organizational, time-management, and multitasking abilities.
+ Outstanding written and verbal communication skills.
+ Strong problem-solving and decision-making capabilities.
+ Advanced proficiency in Microsoft Office Suite and other relevant software.
+ Competencies:
+ High emotional intelligence (EQ) with the ability to anticipate needs and manage relationships effectively.
+ Proven ability to work independently and prioritize tasks with minimal supervision.
