Description We are looking for a highly organized and detail-oriented Executive Assistant to join our team on a contract basis in Washington, District of Columbia. In this role, you will provide vital administrative and operational support to senior leadership, ensuring seamless day-to-day operations. Responsibilities:
- Manage complex calendars and coordinate meetings, ensuring efficient scheduling and time management.
- Prepare and process expense reports accurately and in a timely manner.
- Arrange and oversee travel plans, including booking accommodations, transportation, and itineraries.
- Draft, review, and manage general correspondence on behalf of executive leadership.
- Collaborate with staff to organize and prepare materials for external meetings, including coordinating with the Communications Director on presentations and podcasts.
- Maintain and organize SharePoint files for the Executive Office, ensuring easy access and version control.
- Provide support for Board of Directors and Executive Committee meetings, including scheduling and documentation.
- Coordinate monthly all-staff meetings, ensuring smooth communication and logistics.
- Assist with special projects and assignments, delivering high-quality results under tight deadlines.
- Conduct research and compile reports or presentations, offering insights and recommendations to leadership. Requirements - Proven experience with calendar management, including scheduling and prioritizing meetings.
- Proficiency in expense reporting systems such as Concur.
- Familiarity with CRM platforms and other organizational tools.
- Exceptional communication skills, both written and verbal.
- Demonstrated ability to arrange and manage detailed travel plans.
- Strong organizational skills and the ability to handle multiple tasks simultaneously.
- Experience supporting board meetings and executive-level committees.
- Advanced proficiency in Microsoft Office Suite, including SharePoint. TalentMatch®
