Position Summary:
The Senior/Principal Administrative Business Partner (ABP) will provide high-level administrative and operational support to the Customer Engagement (CE) field organization, working directly with the Head of Business Operations . This role is essential in ensuring seamless execution of business activities, meetings, communications, and field-to-office coordination. The successful candidate will be proactive, organized, detail-oriented, and able to anticipate and meet stakeholder needs with a high level of professionalism and confidentiality.
Key Responsibilities:
Administrative Support
Manage calendars, travel, and meeting coordination for assigned leaders and teams
Independently handle complex scheduling involving internal and external stakeholders
Provide logistical support for virtual and in-person team and leadership meetings
Act as the primary point of contact for administrative questions, with strong knowledge of Genentech policies
Maintain key documents, team rosters, and distribution lists
Support special projects and initiatives across the CE Leadership Team
Communication & Collaboration
Draft clear and effective internal communications
Collect and implement feedback from surveys and team input
Present ideas and updates confidently to leadership
Collaborate cross-functionally to support project tracking and stakeholder engagement
Foster strong internal networks to improve connectivity and drive impact
Operations & Project Management
Assist in developing agendas, synthesizing meeting outcomes, and producing supporting materials (e.g., slides, summaries)
Track timelines and key deliverables for strategic initiatives
Serve as liaison to departments such as HR, IT, Finance, Procurement, Compliance, and Meeting Services
Participate in continuous improvement and operational excellence initiatives
Event Planning & Execution
Lead logistics and planning for internal team meetings, events, and offsites
Coordinate field-to-office engagements such as listening tours, roundtables, and workshops
Plan culture, wellness, and team-building events to enhance employee engagement
Manage budget, vendor contracts, rooming, and payment processes
External Coordination
Liaise with external partners and customer administrative teams for field events and congresses
Organize charitable/community outreach activities in collaboration with local teams
Support contracting and funding logistics for external engagements and HCP interactions
Hiring & Onboarding
Coordinate recruitment logistics including interview scheduling and candidate communication
Support onboarding for new ABPs and team members by training on tools, systems, and best practices
Ensure teams have appropriate office equipment and resources
Qualifications:
3-5+ years of experience in a senior administrative or business partner role, preferably supporting field organizations or senior leadership
Prior experience handling confidential information with discretion
Familiarity with Genentech or biotech/pharma field team structures is a strong plus
Proficiency in G Suite (Gmail, Calendar, Slides, Sheets, Meet) and Zoom
BS/BA degree or equivalent experience
Willingness to travel occasionally for business needs across U.S. time zones
