Job Overview:
Assist Commercial Plumbing Supervisor in administrative duties, pulling together bids, researching costs, dispatching trucks, answering phones, and researching problems.
Essential Responsibilities:
1. Administrative • Answer incoming calls and properly assess issues • Perform data entry, file management, and document preparation. • Analyze bills and properly research discrepancies • Provide Administrative support to the Commercial Plumbing Supervisor
2. Dispatching • Schedule and dispatch service calls, deliveries, or field personnel. • Monitor job progress and communicate with technicians or drivers throughout the day. • Respond to customer inquiries regarding service status, ETAs, or delays. • Use dispatching software or spreadsheets to track and log all job activity. • Ensure adherence to schedules and prioritize urgent tasks effectively.
3. Any other task assigned.
Qualifications:
Education: • HS Diploma or GED; associate degree preferred Experience: 1-3 years of office experience in administrative or office support is preferred Familiarity with office procedures, scheduling, and record-keeping.
Skills & Competencies: • Organizational skills: Ability to manage time, prioritize tasks, and handle multiple responsibilities • Communication skills: Strong written and verbal communication, including professional email and phone etiquette • Computer proficiency: Familiarity with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office equipment • Attention to detail: Accuracy in data entry, scheduling, and document preparation • Customer service skills: Ability to interact professionally with clients, vendors, and coworkers • Discretion: Maintaining confidentiality with sensitive information
Working Conditions: Full-time, office based. Occasional local travel may be required. May require early morning or evening availability, depending on dispatch needs
Essential Functions: • Attending work at the company headquarters is required. • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. • Ability to read, analyze, and interpret common and technical journals, financial reports, and legal documents. • Effectively communicate and/or present information to top management • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. • Ability to compute rate, ratio, and percentage and to draw and interpret bar graphs. • Must be able to define problems, collect data, establish facts, and draw valid conclusions. • Ability to regularly sit for long periods. Must be able to frequently hear and talk.
