Location: Rochester, NY (On-site) Reports To: Controller Salary: $50,000 - $65,000
Job Summary: The Accounts Payable Specialist is responsible for managing the company's accounts payable processes, ensuring accurate and timely processing of vendor invoices, expense reports, and payments. This role plays a key part in maintaining strong vendor relationships and ensuring compliance with internal controls and accounting policies. Key Responsibilities: Process a high volume of vendor invoices accurately and in a timely manner Match invoices to purchase orders and receiving documentation Verify proper approval and coding of invoices Reconcile vendor statements and resolve discrepancies Prepare and process weekly check runs, ACH payments, and wire transfers Maintain vendor files and ensure W-9 and tax documents are up to date Respond to vendor inquiries and resolve payment issues Assist with month-end closing activities including accruals and reporting Ensure compliance with internal accounting controls and procedures Support internal and external audits as needed Qualifications: Associate degree in Accounting, Finance, or related field (Bachelor's preferred) 2+ years of accounts payable or general accounting experience Familiarity with accounting software (e.g., QuickBooks, NetSuite, SAP, Sage Intacct) Strong Excel skills (v-lookups, pivot tables a plus) Excellent attention to detail and organizational skills Ability to manage multiple tasks and meet deadlines Strong communication and problem-solving skills Preferred Skills (Optional): Experience with Bill.com and Sage Intacct a plus Knowledge of 1099 reporting and sales tax regulations Working Conditions and Physical Effort: Manufacturing facility and office environment. Prolonged periods sitting at a desk and working on a computer. Work may at times involve daily exposure to unusual elements, such as dirt, dust, fumes, extreme temperatures (hot and cold), humidity, darkness, and noise. Work environment involves daily exposure to physical risks, such as working around mechanical, chemical, and electrical hazards. Ability to wear PPE (personal protective equipment) such as hair net, earplugs, beard net (if applicable), protective gloves, safety harness, safety glasses and slip resistant work shoes/boots. Personal protective equipment, as defined by Cirona Labs, will be provided. Position requires the ability to stand; sit at a desk; walk around office and facility; lifting and carrying packages up to 50 pounds; utilizing fine dexterity; and reaching, kneeling, crawling, and twisting. Also requires the ability to see, hear; and communicate by utilizing professional etiquette with all levels of associates and with external vendors.
