Reports To: Controller

Salary: $50,000 - $65,000


Job Summary:

The Accounts Payable Specialist is responsible for managing the company's accounts payable processes, ensuring accurate and timely processing of vendor invoices, expense reports, and payments. This role plays a key part in maintaining strong vendor relationships and ensuring compliance with internal controls and accounting policies.

Key Responsibilities:

  • Process a high volume of vendor invoices accurately and in a timely manner
  • Match invoices to purchase orders and receiving documentation
  • Verify proper approval and coding of invoices
  • Reconcile vendor statements and resolve discrepancies
  • Prepare and process weekly check runs, ACH payments, and wire transfers
  • Maintain vendor files and ensure W-9 and tax documents are up to date
  • Respond to vendor inquiries and resolve payment issues
  • Assist with month-end closing activities including accruals and reporting
  • Ensure compliance with internal accounting controls and procedures
  • Support internal and external audits as needed

Qualifications:

  • Associate degree in Accounting, Finance, or related field (Bachelor's preferred)
  • 2+ years of accounts payable or general accounting experience
  • Familiarity with accounting software (e.g., QuickBooks, NetSuite, SAP, Sage Intacct)
  • Strong Excel skills (v-lookups, pivot tables a plus)
  • Excellent attention to detail and organizational skills
  • Ability to manage multiple tasks and meet deadlines
  • Strong communication and problem-solving skills

Preferred Skills (Optional):

  • Experience with Bill.com and Sage Intacct a plus
  • Knowledge of 1099 reporting and sales tax regulations

Working Conditions and Physical Effort:

  • Manufacturing facility and office environment.
  • Prolonged periods sitting at a desk and working on a computer.
  • Work may at times involve daily exposure to unusual elements, such as dirt, dust, fumes, extreme temperatures (hot and cold), humidity, darkness, and noise.
  • Work environment involves daily exposure to physical risks, such as working around mechanical, chemical, and electrical hazards.
  • Ability to wear PPE (personal protective equipment) such as hair net, earplugs, beard net (if applicable), protective gloves, safety harness, safety glasses and slip resistant work shoes/boots. Personal protective equipment, as defined by Cirona Labs, will be provided.
  • Position requires the ability to stand; sit at a desk; walk around office and facility; lifting and carrying packages up to 50 pounds; utilizing fine dexterity; and reaching, kneeling, crawling, and twisting. Also requires the ability to see, hear; and communicate by utilizing professional etiquette with all levels of associates and with external vendors.
