Northern Manhattan Rehab and Nursing Center is seeking an experienced and highly organized Secretary to support our Nursing Department. This position plays a vital role in ensuring smooth daily operations in a fast-paced, dynamic healthcare environment. The ideal candidate is professional, punctual, detail-oriented, and able to multitask effectively.

Responsibilities of Unit Clerk / Medical Appointment Scheduler:

  • Carry out assignments from the Director of Nursing (DON) or designee accurately and promptly
  • Promote cooperative and professional relationships with residents, families, staff, vendors, and healthcare partners
  • Input and transmit computerized data (e.g., MDS, Medicare, PRI, etc.)
  • Operate office equipment including fax machines, copiers, and other office machines
  • Prepare, duplicate, distribute, and mail reports, letters, and documents as directed
  • Schedule appointments and meetings and direct visitors to appropriate areas
  • Answer telephones professionally and provide information in accordance with nursing home regulations, referring complex inquiries to appropriate personnel
  • Prepare and maintain nursing staffing schedules for all units, ensuring adequate coverage
  • Maintain accurate records of employee benefits and leave days
  • Monitor daily staffing schedules for absenteeism and promptly update the DON/designee
  • Pre-register and schedule resident appointments for outside services and follow-up visits
  • Arrange transportation and escorts for resident appointments
  • Maintain professional relationships with outside agencies, hospitals, and partner facilities
  • Maintain and organize patient medical records and related documentation
  • Prioritize incoming and outgoing mail and faxes, maintaining accurate files and records
  • Abstract, analyze, audit, and code medical records promptly
  • Oversee the release, storage, archiving, and transcription of medical records in compliance with HIPAA standards
  • Maintain strict confidentiality of all nursing office matters
  • Respond to the needs of the facility and staff and accept assignments based on operational needs

Qualifications:

  • High School Diploma or equivalent
  • Proficiency in Microsoft Office
  • Minimum of two (2) years of clerical experience, preferably in a healthcare or nursing home setting
  • Experience with proofreading, cross-indexing, and filing
  • Excellent oral and written communication skills
  • Strong attendance and punctuality are required
  • CNA certificate preferred
