Unit Clerk

The Unit Clerk works under the direction of the licensed professional nurse and/or Clinical Manager to perform secretarial/clerical duties associated with clinical nursing. The unit clerk is responsible for communication and other general clerical duties of the nursing unit. The unit clerk must be able to organize and handle a multiple task environment while maintaining excellent customer service skills and a calm demeanor.

The following statements are intended to describe the general nature and level of work being performed by people assigned to this classification. These are not to be construed as an exhaustive list of all job duties performed by personnel so classified.

  • Demonstrates the knowledge and skills necessary to provide assistance appropriate for the patients on their assigned unit/department.
  • Participates in unit activities including unit based committees.
  • Answers patient call bells at the nursing station and informs nursing staff of patient needs and will provide face to face follow up with patient per nursing staff request.
  • Maintains a clean, safe, orderly environment.
  • Initiates and maintains patient paper and electronic medical records.
  • Performs clerical duties such as faxing, copying, telephone, paging, computer entry, and printer management.
  • Types documents necessary for unit functions such as staff meeting minutes, and creation of flyers/notices, and other identified documents by the unit manager or designee.
  • Processes department mail and maintains reports, logs, and forms.
  • Demonstrates awareness of clinical priorities, STAT orders, and patient issues requiring immediate attention.
  • Prints assignment sheets, and various patient lists such as central lines and restraints to assist charge RN.
  • Assists with supply management and equipment maintenance processes for example, places HEMM/Equipment/Supplier Orders. Completes and submits broken equipment requests to Biomed.
  • Participates in cost containment measures by utilizing supplies efficiently, recording all charges accurately, and utilizing work time productivity.
  • Assist the manager with audits as needed. These include, but are not limited to, Armband audits, and Safety Rounds.
  • Maintain Log of patients off the unit for non-clinical reasons (i.e. in the cafeteria).
  • Maintains open communication with patients, physicians, visitors and co-workers by greeting individuals and introducing self. Speaks in a polite, clear, calm voice.
  • Assists with various customer service activities including but not limited to 1) obtaining clerical materials for patient admission, 2) performing customer service rounds, under direction of the nurse manager.

Education and Experience:

  • High School Diploma or equivalent (GED) is required.
  • One year health care facility experience preferred.

Knowledge, Skills and Abilities:

  • Highly effective verbal, written and interpersonal communication skills to communicate effectively with all levels hospital staff, patients, visitors, and levels of staff.
  • Medical Terminology preferred.
  • Computer skills required; knowledge of Microsoft office to include Word and Outlook.
