Description: We have an immediate opening in our Trusts & Estates department in our Milwaukee office. Our Trusts and Estates Practice helps clients build and preserve their wealth, both for themselves and for their heirs. Besides providing comprehensive trust and estate services, our attorneys often collaborate with financial institutions and trust companies to promote the client's best interests and ensure the client's needs are met.
You will join a team whose services include a comprehensive and continuous analysis of the clients' assets and incomes in relation to their financial and personal goals.
As part of our Trusts & Estates legal team, some of the essential duties and responsibilities will include: Type from rough draft, handwritten materials and/or dictation into proper format. Compose basic or routine letters/transmittal e-mails. Enter timekeepers' time entries. Proofread for spelling, punctuation and grammar. Schedule and calendar appointments and meetings; make travel arrangements and complete expense reports. Process mail; route documents via U.S. Mail, e-mail, delivery service, fax, etc. Obtain/maintain contact information. Serve as back-up to other assistants. Perform general research for timekeepers. Monitor e-mail, regular mail and voice mail. Open files and organize and maintain filings (including electronic filing) and files; assist timekeepers with tracking deadlines and organizing projects. Answer phones and resolve questions or concerns from clients, other attorneys and co-workers. When requested, monitor timekeepers' e-mail, regular mail and/or voicemail. Arrange for responses whenever possible. Report responses/status of items to timekeepers. Requirements: This position requires superior administrative skills. You must be a professional with 3-5 years of administrative assistant experience; legal or experience in a professional services organization preferred. A Bachelors' Degree is a plus. Other required qualifications include: Excellent written, oral and e-mail communication skills. Excellent listening skills. The ability to work comfortably in a team environment. Prioritize and handle/complete multiple tasks with competing deadlines. Outstanding customer service/interpersonal skills. Strong technology skills. Demonstrated proficiency and experience with Microsoft Word/Excel/Outlook/PowerPoint ; and willingness to learn new tools. Typing speed of 65 wpm or more. Exceptional organizational skills. Strong attention to detail with a commitment to accuracy. Superior grammar, spelling, vocabulary and language skills. Efficient, flexible and patient. Ability to display complete discretion and tactfulness with confidential information. While performing the duties of this job, the employee must be able to frequently use a keyboard, calculator, and telephone. Frequent sitting, walking, talking, hearing, and occasionally stand, stoop, bend, kneel, crouch, crawl, lift (20 lbs.), and an ability to adjust vision for close vision work.
