Position Summary The Temporary Executive Assistant serves as a critical support role to the CEO and Project Teams by managing administrative functions and facilitating seamless office operations. This position is responsible handling sensitive communications, managing schedules, coordinating project documentation and serving as a liaison with internal staff and external partners, including a third-party IT firm. The ideal candidate will demonstrate exceptional attention to detail, professionalism and a proactive approach to multitasking in a fast-paced environment.
Minimum Qualifications High School Diploma or equivalent Bachelor’s degree preferred 1 - 3 years’ experience in an office setting supporting executives/owners Knowledge of MS Suite (Word – Intermediate, Excel – Beginner, PowerPoint – Intermediate) Valid Texas Driver License with acceptable MVR
Typical Duties Answer telephone, act as back-up receptionist, and provide gatekeeper service for Executive. Receive mail – sort, scan, disperse to intended individual. Monitor office supplies, create request, and obtain approval prior to ordering needed supplies. Monitor general calendars for meeting requests; update agendas as requested. Monitor calendar, email, to do list, time entries/approval for Executive. Establish project folders and coordinate document flow for RFP, RFI, Submittals, etc. Coordinate IT service requests with 3rd Party IT firm. Monitor Ring Central for overnight traffic and messaging. Provide administrative/clerical support to Executive and Project Teams, as requested. Perform additional duties and projects as assigned.
