Here is how the Strategic Assistant will help:
Manage the SVP’s calendar, including prioritization of meetings, travel, and deadlines aligned to strategic initiatives.
Arrange complex and detailed travel plans and itineraries, compile documents for travel-related meetings, and accompany as supervisor when requested.
Monitor and screen incoming requests, calls, correspondence and project updates, and respond proactively and independently when possible.
Prepare memoranda, letters, reports, agendas, notices, minutes, and presentations for meetings with executive leadership, public officials, and external partners.
Arrange programs, events, or conferences by arranging for facilities and caterers, issuing information or invitations, coordinating speakers, and controlling the event budget.
Support the planning and execution of high-visibility communications and brand projects, working closely with the C&B leadership team
Track action items and timelines, ensuring follow-through on key deliverables.
Compile background materials and briefs by synthesizing/summarizing materials for all strategic initiatives.
Manage all expense reports and reconcile corporate American Express statements.
Prepare and enter work orders and purchases through the JD Edwards system.—Per Juliana--the more junior admin coordinator could manage this for our department.
Serve as liaison between the SVP and internal/external stakeholders, maintaining confidentiality and professionalism in all interactions.
Represent the SVP’s office in cross-functional meetings and communications with a strong focus on relationship management and service.
Provide back-up and secondary support for the Communications & Brand team while the department’s administrative coordinator is out of the office.
Perform other related tasks as assigned or required.
Conduct pre-interview meeting/training with managers/panel, to ensure a smooth, fair process is followed.
Conduct regular follow-ups with managers to determine the effectiveness of recruiting
efforts.
Position may require work responsibilities outside of normal business hours.
Travel required 25%.

The successful candidate for the Strategic Assistant will possess the following knowledge, skills, and abilities:

The minimum requirements needed to qualify for the Talent Acquisition Specialist role are:
Bachelor’s degree in business (or similar) from an accredited college or university.
Five years of relevant experience, supporting senior executives in a fast-paced, high-profile industry.
Experience in marketing, communications, or public-sector environments preferred.
Excellent communication, editing, and organizational skills.
Experience working successfully and collaboratively with cross-functional teams.
Ability to manage multiple priorities under pressure with professionalism and discretion.
Proficient with Microsoft Office: Excel, Word, Outlook, and PowerPoint.
Possess, or obtain prior to employment, a valid driver’s license. Note: license must be maintained throughout employment.

PRE-EMPLOYMENT BACKGROUND INVESTIGATION:
Ability to successfully pass a thorough investigation consisting of a criminal history check (including but not limited to the requirements of TSR 1542.209), verification of prior employment and performance, reference and credentials checks, and in some cases credit history.

We offer two plan options for healthcare coverage from high-quality insurance carriers, as well as an ACAA-funded Health Reimbursement Account (HRA) that will help offset the cost of many medical expenses. ACAA employees pay almost $1,200 less per year in healthcare payroll contributions than the average employee in other companies, according to market surveys.
When HRA funding is included, the health-plan deductibles paid by ACAA employees are about $1,200 lower on average than the costs paid by employees of other companies.
ACAA does not require that employees meet a separate deductible for pharmacy expenses before prescription-drug coverage kicks in.
ACAA’s dental plans (included with healthcare coverage) offer an option covering children’s orthodontia.
Employees also can take advantage of a Flexible Spending Account (FSA) to help pay for health care and dependent care expenses on a pre-tax basis.
All eligible full-time ACAA employees participate in the Allegheny County Employees Pension Plan, a defined-benefit plan that vests after 10 years of service.
