What You'll Do In this critical, in-office role , you'll be the go-to person for scheduling and coordination once a job is ready for production. You'll manage timelines, keep everyone in the loop, and ensure that every detail is double-checked before crews arrive on-site.
Key Responsibilities: Review orders and confirm job details once projects are ready for scheduling. Coordinate schedules with homeowners, crews, vendors, and internal teams. Communicate effectively with the production team to manage logistics and field needs. Confirm material orders, delivery dates, and job readiness. Provide quality control updates and follow-up communication with homeowners. De-escalate concerns and resolve scheduling or logistical conflicts quickly. Maintain accurate records in CRM systems (AccuLynx). Work closely with project managers, sales, and leadership to keep the pipeline moving smoothly.
What We're Looking For 3-5 years of experience in scheduling, logistics, coordination, or related administrative roles. Strong interpersonal skills - comfortable communicating up, down, and across the organization. Ability to build rapport with homeowners, crews, and vendors. Organized self-starter with strong time management skills. Proficient in Microsoft Outlook and Excel (able to open, sort, and filter spreadsheets). CRM experience preferred (AccuLynx, Salesforce, etc.) but willing to train the right candidate. Bi-lingual (English/Spanish) is a plus. Calm under pressure and able to manage multiple projects at once.
