SUMMARY:

The Senior Loan Operations Specialist will be responsible for managing and overseeing daily functions of US Small Business Administration (SBA) loans, such as, data entry functions, loan boarding, reporting, and overall loan servicing. The position will also include the responsibility for managing and overseeing Loan Operations special projects and tasks under the direction of the SBA Loan Operations Manager; assists in performing various activities related to administrative, compliance, and internal affairs; ensures compliance with state and federal laws and regulations; analyzes verbal or statistical data for report preparation for use by Bank management; and aids SBA Loan Operations Manager by analyzing and coordinating department services such as personnel, report preparation and delivery, document retention schedules, and implementation of new process and procedures.

ESSENTIAL FUNCTIONS:

  • Oversee daily functions associated with the Bank’s SBA portfolio. Including but not limited to the servicing for new portfolio loans, submitting documents associated with renewals/modifications, direct/research/resolve individual loan inquiries, assist with daily payment file, monitor daily reports and track future maturities.
  • Maintain well documented process and procedures guide for SBA loans. Provides proper audit trail for each task.
  • Skillful knowledge of PCFS/Loan Manager and SBA Capital Access Financial Systems (CAFS)/E-TRAN to ensure that loan data is appropriately recorded in applicable systems.
  • Onboarding new loans, maintain loan data, ticklers, prepare delinquent loan payment within the allotted time frames, managing of monthly billing statements, upload NACHA or ACH files, balance accounts and communicate with internal and external clients on a regular basis.
  • Assists loan operations personnel in solving loan level issues as they arise and require extensive research and analysis.
  • Interviews appropriate internal/external personnel to obtain requested data or draft correspondence to answer inquiries.
  • Conducts research to obtain data for assigned subject matter. Review and answer correspondence.
  • Analyzes, evaluates and tabulates collected research data to communicate findings and/or recommendations to department manager.
  • Complies report data or presents data regarding department productivity. Makes recommendations for improvement.
  • Manages and oversees projects and tasks under the direction of Loan Operations Manager; participates in various internal committees as assigned.
  • Assists in performing various activities related to administrative or internal affairs of Loan Operations Department; monitors and makes recommendations for changes to the Department’s process and procedures as required to maintain compliance with state and federal laws and regulations.
  • Completes annual compliance courses.
  • Adheres specifically to all corporate policies and procedures. Also adheres to Federal and State regulations and laws; including, the Bank Secrecy Act and the Anti-Money Laundering Act.
  • Adheres to all levels of our Service Excellence standards.
  • Performs other duties as required and/or assigned by SBA Loan Operations Manager.


GENERAL QUALIFICATIONS:

Knowledge & Experience: These specifications are general guidelines based on the minimum experience normally considered essential to the satisfactory performance of this position. Individual abilities may result in some deviation from these guidelines.



  • High school diploma or general education degree (GED); or the equivalent combination of education and experience. Work related experience should consist of duties in a business environment. Educational experience, through in-house training sessions, formal school or financial industry related curriculum, should be business or financial industry related.
  • Minimum experience: 4+ years of SBA Experience
  • Skillful knowledge of SBA processing documentation/operations, products and services; related state and federal laws and regulations, and other Bank operational policies and procedures.
  • Excellent organizational and time management skills - ability to work with minimal supervision.
  • Intermediate skills in computer terminal and personal computer operation; mainframe computer system; word processing, spreadsheet and specialty software programs.
  • Exceptional verbal, written and interpersonal communication skills with the ability to apply common sense to carry out instructions.

Physical Demands/Work Environment: Vision, hearing, speech, dexterity, visual concentration. A valid driver’s license is required. Must have the ability to stand, walk, sit and use hands and fingers. Must have the ability to work the hours and days required to complete the essential functions of the position, as scheduled. The environment is a professional office with standard office equipment.
