Position Summary: We are seeking a detail-oriented and experienced Purchasing Administrative Assistant to support the Senior Planning Manager in coordinating procurement activities and maintaining accurate purchasing records. This role is ideal for someone with strong Excel skills, a proactive mindset, and the ability to work efficiently in a fast-paced environment.
Key Responsibilities:
Assist in purchasing activities including preparing purchase orders, tracking deliveries, and maintaining vendor communication. Generate and maintain purchasing and inventory reports using Microsoft Excel (e.g., VLOOKUP, pivot tables, data validation). Support the Senior Planning Manager with administrative tasks and reporting for planning and procurement functions. Monitor and reconcile purchase order discrepancies or delays. Maintain accurate and organized purchasing files and supplier documentation. Coordinate with internal departments to ensure timely procurement of materials and services. Perform data entry and assist with ERP or purchasing system updates as needed. Prepare and distribute weekly/monthly reports related to vendor performance, cost tracking, and inventory.
