Operations Assistant/Training Coordinator
Seeking a high-energy administrative professional with strong verbal and written communication skills to support our Operations & HR teams. This person will be organized with an eye for detail. This role will require flexibility and an ability to prioritize multiple tasks and projects. The right candidates will have strong interpersonal skills, will be capable of handling confidential information discreetly and a desire to work in a team environment.
What You'll Be Doing:
Utilize strong administrative and communication skills to assist with daily tasks that will address operational issues and ensure activities are running efficiently. Serves as the plant onsite administrative support and training coordinator, improving retention and training and development initiatives. Coordinates with HR Generalists as needed. Promotes and assists positive employee engagement and community-relations activities.
Essential Duties and Responsibilities include the following. Others as assigned. Administer local administrative and training support to include communication, tracking, and resource scheduling, connects with HR department functions to maintain company-wide consistency of policy and programs, training, safety, and employee relations. Provide excellent customer service and supports strong employee relations by being a go between higher level managers and employees for daily information, producing reports, etc. Support manufacturing function: Promptly answers questions and relays timely information to employees and managers. Forwards suggestions for improvement to the Manager. Reporting and recordkeeping. Track down information, assist with action plans and corrective action initiatives. Assist with recruitment and onboarding processes
Training Program- Administrative Support Conduct required training programs, including routine and yearly sessions to ensure employees are up to date on compliance and best practices. Coordinate schedules and maintain ongoing RFC education courses, teaching if necessary. Oversee the daily maintenance of the training programs. Training documentation and checklist completions. Track's structure and accountability to pay for skills programs, i.e. Roll Operator Training Program
Perform administrative duties for On-the-job training (OJT), assist operations management in scheduling and training plan completions on time. Ensure employees are receiving time, rotations, trainers, coaching, to complete development plans. Assist supervisors in conducting performance review evaluations, getting scheduled and completed.
EXPERIENCE At least 3-6 months' hands-on or direct experience with administrative duties and coordination of meetings, training or related. Experience with developing on the job checklists and training plans, coordinating training or conducting training workshops and classes strongly preferred. EDUCATION & CERTIFICATIONS High School Diploma required. One year of training or certification with related systems preferred. OSHA 10-hour or OSHA 30-hour training completed preferred First Aid or CPR training or Train the Trainer certified preferred SKILLS & COMPETENCIES THAT ENABLE YOU TO SUCCEED Highly proficient in Office software: Excel, Word, PowerPoint, and Outlook and ability to learn new software tools. Excellent verbal and written communication skills Strong organizational and time management skills are a must. Ability to work on multiple projects simultaneously while maintaining accuracy and meeting deadlines. Prioritizes appropriately. Ability to collaborate with coworkers, and leadership team. Builds rapport and develops alliances; adjusts communication style to meet the needs at various levels within organization. Ability to develop a strong understanding of production processes and capabilities, how data is captured and used internally to make decisions. Hands-on experience with ERP or MRP. Global Shop Solutions is preferred. Experience with Saba TalentSpace or similar talent management software preferred. Experience with Qualityze or similar quality management systems/software preferred. OTHER REQUIREMENTS Spanish fluency (verbal and written) preferred. Valid driver's license. Standard work hours with occasional evening/weekend availability as needed.
