We are looking for an Office Coordinator to join our Overland Park, Kansas team.
The Office Coordinator supports the office through a variety of administrative and office duties listed below. The Office Coordinator is the face of the company, and first point of contact for clients both through the phone and in person. This position requires exceptional PC skills, aptitude for problem solving, and initiative.
Responsibilities Greet and welcome clients, providing a professional and friendly first impression of the company. Answer and manage incoming phone calls, directing calls to the appropriate individuals and taking accurate messages when necessary. Create project invoices, manage accounts receivable, and post incoming checks, ensuring accurate and timely financial transactions. Generate Microsoft and/or Google documents for various departments, maintaining a high level of accuracy and attention to detail. Manage expense reports and vehicle mileage logs, ensuring proper documentation and adherence to company policies. Conduct research on various topics and compile information for use by the team. Enter projects into management software (Deltek) to maintain accurate project records and facilitate project tracking. Assist with the coordination and execution of events both inside and outside of the office, ensuring smooth event logistics and providing support as needed. Maintain office supplies, monitor inventory levels, and place orders as necessary to ensure sufficient stock. Provide guidance and support to junior office staff, mentoring and sharing knowledge to foster their professional growth.
Qualifications 2 to 6+ years of experience in office management or administrative support roles. High School Diploma. Possess PC skills, including Word, Excel, Google Suite. Accounts receivable or finance experience desired. Ability to work effectively in a team environment. Self motivated. Customer service oriented. Strong interpersonal, verbal and written communication skills. Ability to work independently with little supervision. Ability to perform light lifting up to 25 pounds.
