The New York office of Robinson & Cole LLP, an AmLaw 200 firm, is seeking a full-time Office Administrator to join our Office Administration team. Responsible for the overall day-to-day operations of the office including facilities and office event management. Responsible for the management and development of Legal Administrative Assistants, Receptionists and assigned administrative business professionals. Supports firm initiatives by championing change, sharing information, and collaborating with others. Partners with central administrative departments and peer Office Administrators to drive efficiency, best practices, and lower costs across the firm. Duties/Responsibilities Operations and Management and Development of Business Professionals Effectively manages and influences key office stakeholders to ensure their support of Office Administration policies and guidelines as they relate to salary administration, business professionals’ performance, assignments, and recruitment. Oversees the day-to-day workflow of the Legal Administrative Assistants and Receptionists and other administrative business professionals in assigned offices to ensure work is allocated properly. Manages and develops business professionals, which includes setting annual goals, measuring results, conducting interim and annual performance evaluations, and overseeing skills training and professional development. Consults with Practice Group leaders to assess the need for additional business professionals. Facilitates communication of practice needs to administrative departments and works to broker solutions. Collaborates with the Human Resources Department to recruit Office Administration business professionals. Responsible for evaluating and interviewing prospective candidates and participating in the selection process. Responsible for onboarding Office Administration business professionals and assignment of mentors and/or coaches as needed to ensure a smooth transition to the firm and assigned practice. Approves weekly timecards ensuring accuracy of hours worked and approves time off requests. Ensures business professional entries adhere to firm procedures. Conducts random time audits. Assesses business professionals to evaluate gaps in skills and competencies. Collaborates with the Training Manager to develop skills training as needed. Coaches and develops business professionals by meeting regularly with them to share feedback on performance results, and areas for development. Tracks performance metrics and generates reports on performance feedback from stakeholders, such as attorneys and/or other administrative departments, and tracking paid time off, unplanned absences, and accruals. Budget Management Manages office budget, salary administration, and provides metrics and reporting as required by Director of Office Administration. Reviews and approves payment of invoices for the office. Manages local vendor relationships to ensure compliance with firm standards and service level agreements as well as cost effective management practices. Maintains firm standards of quality service. Facilities Management Manages office build-out, reconfiguration and/or relocation in compliance with the firm’s facilities design standards for common space, office location/design, floor plan, conference rooms, kitchens etc. and ensures external vendors are in compliance with the above standards. Responsible for the maintenance of assigned office(s). Contracts with vendors and contractors to ensure necessary office upkeep. Implements required maintenance upgrades on equipment and furniture and coordinates the repair, service, and/or cleaning of the office space and HVAC systems, furniture, carpeting, appliances, building equipment, vending, coffee and water systems, and fire extinguishers. Event Management and Other Responsibilities Oversees the coordination of annual office events, civic, cultural and/or charitable firm activities as required. Provides guidance and support as needed for firm programs sponsored by other administrative departments and client events. Ensures that office administration procedures are documented and are updated to remain current, and that central admin department policies and procedures are adhered to by office business professionals. Collaborates with the Director of Office Administration and peer Office Administrators on the planning and delivery of key communications, professional development, and procedural training. Is responsible for successfully managing, leading, and implementing new programs, systems, and/or procedures. This position requires travel to firm offices. May perform other duties as assigned. Experience Minimum of 7 years’ experience in a professional services firm managing business professionals and project management skills. Education NY Applicants: Please note that the target base salary range for this position is $150,000 to $180,000. Actual base salary within that range will be determined by several components including but not limited to the individual's years of experience, skills, qualifications, and office location.
