Description: We are seeking a highly organized and motivated individual to join our team as Medical Administrative Assistant for our busy gastroenterology office. The Medical Administrative Assistant supports the daily operations of the gastroenterology practice by performing a combination of front office administrative duties and limited back office clinical support. This role is primarily responsible for scheduling appointments, managing patient records, verifying insurance, assisting with billing tasks and patient communication. The individual will also room patients and obtain basic vitals from patients.

Duties and Responsibilities:

Clerical Support:

  • Greet and check-in patients in a courteous and professional manner.
  • Schedule patient appointments, procedure follow-ups, and referrals according to provider guidelines.
  • Manage and update patient medical records in the EMR system.
  • Verify insurance eligibility and obtain authorizations or referrals as needed.
  • Assist with billing processes, including collecting copayments and updating patient financial information.
  • Answer phone calls, respond to messages, and relay information to the appropriate staff.
  • Maintain organization and accuracy of front desk and administrative areas.
  • Prepare forms, correspondence, and reports as requested by providers or administrative leadership.
  • Maintain office policies and procedures to ensure compliance with FDHS and healthcare regulations and standards including HIPAA, OSHA, Fraud, Waste & Abuse, and Cybersecurity.
  • Serve as back-up when a staff member is absent.
  • Assist in special administrative projects and initiatives aimed at growth planning and improving office operations and patient satisfaction.

Clinical Support:

  • Escort patients to exam rooms and prepare them for their visit.
  • Record patient vitals, including blood pressure, pulse, height, weight, and temperature.
  • Document vital signs and chief complaint in the EMR system in accordance with practice protocols.
  • Clean and restock exam rooms as necessary
  • Other duties as assigned. Qualifications:

  • Highschool diploma or equivalent required.
  • 2+ year of experience in a medical office setting strongly preferred.
  • Experience with EMR systems and medical scheduling software preferred.
  • Understanding of basic medical terminology and HIPAA HIPAA, OSHA, and Medicare compliance.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal skills, with a customer service-oriented approach.
  • Proficiency in Microsoft Office software applications.
  • Knowledge of medical billing and coding procedures preferred.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Attention to detail and a commitment to maintaining high standards of professionalism and patient care.
  • Flexibility to adapt to changing priorities and responsibilities as needed.

Physical Demands

The employee is frequently required to walk; sit; use hands for fine manipulation, handle or feel and reach with hands and arms using a keyboard and video display terminal. The employee is occasionally required to stand and stoop, kneel, crouch or crawl and climb stairs. The employee should be able to lift and move up to 25 lbs.
