Large Dallas law firm is seeking an Intellectual Property Legal Administrative Assistant. This position supports attorneys with patent filings, post-grant proceedings, and related intellectual property tasks, ensuring compliance with USPTO rules and internal procedures. The role involves managing deadlines, preparing legal documents, coordinating with foreign associates, and handling administrative duties in a fast-paced, team-oriented environment.
ESSENTIAL DUTIES & RESPONSIBILITIES:
•Monitor filing deadlines for U.S. and foreign patent applications; assist with docket review and communicate updates.
•Prepare and file patent applications, responses to office actions, and related USPTO documents, ensuring timely and accurate processing.
•Assist in the preparation and filing of post-grant proceedings such as inter partes reviews, ex parte re-examinations, and post-grant reviews.
•Support preparation of PCT applications and correspondence with foreign associates.
•Draft routine correspondence, reporting letters, and legal documents using in-house tools.
•Maintain organized electronic and paper files, client preferences, and contact records.
•Coordinate incoming and outgoing file transfers.
•Ensure efficient daily administrative operations for the assigned legal team and help manage workload distribution.
•Draft and proofread routine and non-routine correspondence; maintain knowledge of internal policies and procedures.
•Provide general administrative support including timesheet and billing processing, calendar management, and travel coordination.
•Support other legal teams as needed to ensure overall workflow and productivity.
QUALIFICATIONS:
•Proficiency in technology platforms, including Microsoft Word, Excel, PowerPoint, and internet-based tools.
•Strong organizational and communication skills; ability to prioritize, problem-solve, and work independently or collaboratively.
•Attention to detail, proofreading, and editing skills required.
•Flexibility to work overtime if needed.
•Bachelor's degree preferred.
•Minimum of 4 years' experience in intellectual property legal support required.
