JOB SUMMARY: As a Human Resources Specialist – Benefits & Payroll at the Boys & Girls Clubs of Southcentral Alaska, you will play a vital role in assisting with the administration of all benefits and retirement programs, including medical, dental, vision, life insurance, short – and long-term disability, 401(k) plan, and all payroll functions.

The following duties are intended to provide a representative summary of the major duties and responsibilities and ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.


REPRESENTATIVE DUTIES

Benefits

  • Ensures the accuracy of all benefits enrollments in the HRIS to provide vendors with accurate eligibility information.
  • Assists with new-hire orientations.
  • Performs quality checks of benefits-related data.
  • Assists employees regarding benefits claim issues and plan changes.
  • Distributes all benefits enrollment materials and determines eligibility.
  • Enrolls employees with carriers and process life status changes.
  • Responds to benefits inquiries from managers and employees on plan provisions, benefits enrollments, status changes and other general inquiries.
  • Processes and administers all leave-of-absence requests and disability paperwork: medical, personal, disability and FMLA.
  • Effectively interprets FMLA and ADA implications as they relate to leaves of absences/disabilities.
  • Responds to 401(k) inquiries from managers and employees relating to enrollments, plan changes and contribution amounts. Manages the annual catch-up contribution enrollment.
  • Assists with the open enrollment process.
  • Administers the tuition reimbursement program.
  • Provides necessary reports for allocation/billing charges.

Payroll

  • Enters, maintains, and/or processes information in the payroll system; information may include employees hourly rates, salaries, commissions, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other information.
  • Ensures proper processing of payroll deductions for taxes, benefits, charitable contributions, and other deductions.
  • Reconciles payroll to the general ledger and monthly bank statements.
  • Issues, or reissues, physical or replacement checks or direct deposits due to payroll errors or final discharge.
  • Records and processes federal and state payroll tax deposits.
  • Performs other duties as assigned.

  • Proficient with or the ability to quickly learn payroll software.
  • Ability to build rapport and establish trust with a diverse youth population
  • Knowledge of positive youth development principles and adolescent development
  • Ability to communicate effectively with youth, parents, and colleagues in a positive and professional manner
  • Demonstrated commitment to promoting diversity, equity, and inclusion in all aspects of youth programming.
Requirements:

MINIMUM EDUCATION QUALIFICATION

  • Associate’s degree in HR or related field, but experience and/or other training/certification may be substituted for the education.


MINIMUM EXPERIENCE QUALIFICATION

  • Two years’ experience in human resources, benefits administration or payroll.


MINIMUM CERTIFICATION QUALIFICATION

  • Employees will be trained in First Aid and Cardiopulmonary Resuscitation (CPR) to respond effectively to medical emergencies or injuries that may occur during program activities. It is the responsibility of the employee to achieve and maintain the First Aid and CPR certification.
  • Employees will be assigned Boys & Girls Clubs of America Spillett trainings annually. It is the responsibility of the employee to complete the Spillett trainings when assigned.
  • Employees must complete the State of Alaska, Department of Health & Social Services, Mandatory Child Abuse Reporter Training at time of hire. It is the responsibility of the employee to complete the Mandatory Child Abuse Reporter Training annually.
