Requirements
Summary
Provides support to the agency by greeting clients and visitors, answering phones, providing clerical support, receiving payments, scheduling counseling services and supporting ancillary services as needed. Maintains professionalism and treats clients with empathy and respect.
Qualifications:
Experienced in an office environment
Skill in composing letters and proofreading
Computer literate; including typing and creating forms
Knowledge of resources, methods, and techniques for pre-sobriety and early recovery counseling
Good public relations skills
Ability to communicate in writing and verbally
Knowledge of legal confidentiality requirements
Demonstrated excellent interpersonal skills with clients, peers, supervisors, and organization authorities
If a recovering person, a minimum of one year of continuous sobriety and active participation in a program of recovery
Bilingual candidate, preferred
Responsibilities :
Clerical Support
Warmly welcome and check in every individual that walks through the door
Answer phones, make reminder calls, and keep call log
Schedule intake appointments and prescreens
Maintain and update client files; create new files, audit files for late charges, etc.
Contact agency partners to verify program requirements and statuses for clients
Inform courts of enrollment, completion, termination, etc. of programs
Manage attendance from counselor rosters
Perform client prescreens for court and volunteer participants and prepare intake correspondence and forms
Schedule and perform urine tests, and make sure clients have authorization in place before testing
Follow up with clients regularly to ensure program engagement
Verify Medi-Cal eligibility
Keep office and client areas clean and neat
Keep the file room neat and organized
Order office supplies as needed
Scan and upload documents into client profiles
Stamp and drop off outgoing mail
Counselor Support
Take payments, log and record payments in computer and client files
Statistics - compile and calculate month-end statistical data from daily log sheets
Billing - collect daily attendance sheets and log minutes into rosters & medical billing
Cal-Oms - Collect & track client Cal-Oms and enter their intakes, discharges, changes in the level of care, and continuing services
Clerical support to Site Managers and Counselors
Assist the Site Manager with requests for literature, office, and hospitality supplies as needed
Assist in the URC process as needed
Actively utilize, reference, and follow agency policies, procedures, and guidelines
Adhere to all HIPAA and HITECH requirements as they pertain to client care UA
Observing UA Testing of clients
Other duties as assigned
