Freelance Office Manager/EA

Responsibilities:
- Act as the primary point of contact for all internal and external office-related inquiries
- Issue visitor passes and schedule visitors with the building security team.
- Accept, sort and distribute all incoming mail deliveries. Distribute interoffice mail, FedEx, UPS, and any courier packages. as needed.
- Ensure conference rooms are kept neat and set up in preparation for large meetings
- Oversee office maintenance with vendors and building management, ensuring all request are completed to a high standard and in a timely manner.
- Oversee the upkeep of kitchen and common areas on both floors, including food and beverage management, dishwasher loading, and snack restocking.
- Maintain and clean coffee machines.
- Order and replenish snacks and beverages
- Maintain office supplies and ensure a clean, organized, and professional workspace
- Coordinate executive calendars, schedule meetings, and make travel arrangements.
- Manage lunch orders and meeting preparations for Executives
- Draft, edit, and proofread correspondence, letters, and internal documents.
- Provide support to internal departments
- Arrange all domestic and international travel including flights, hotels, restaurants, itineraries, car service, and visas as needed. This includes weekly domestic travel to NYC.
- Handle sensitive and confidential information with a high level of discretion
- Foster a positive and productive work environment.
- Work with external board organizations to ensure there are no conflicts between the external needs and the business needs.
- Liaison between Company and the Company's board of directors related to quarterly and monthly board meetings.
- Organize and submit expense reports and maintain records.
- Work closely with the finance team to review all invoices & POs pending approval and approve on their behalf as needed.
- Assist with prioritizing requests as they arise
- Assist with creating documents, spreadsheets, and presentations as needed
- Coordinate events including off-site events, leadership meetings, and office events.
- Other duties as assigned
- Prior experience as an Office Manager, Executive Assistant, or similar administrative role within a corporate environment
- Expert level Outlook, MS Teams, Zoom, Excel, and PowerPoint
- Strong verbal and written communication skills
- Exceptional organizational skills and impeccable attention to detail.
- Able to maintain a high level of professionalism, integrity and discretion in handling confidential information
- Excellent written and verbal communication skills.
- Strong organizational and time-management capabilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); tech-savvy and able to troubleshoot basic IT issues.
- Ability to juggle multiple priorities and meet deadlines in a dynamic setting.
- Experience or familiarity with commercial real estate or property management is a plus, but not required.
- Positive attitude and a willingness to learn!
