Position Overview
The Finance Manager is responsible for overseeing the financial health and integrity of the organization by managing day-to-day accounting operations, preparing accurate financial reports, ensuring compliance with grant and government contract requirements, and supporting strategic financial planning. This role provides essential oversight of accounts payable and receivable, payroll, reconciliations, budgeting, and cash flow management to ensure strong stewardship of organizational resources. The Finance Manager works closely with leadership, program staff, and external partners (including auditors, funders, and vendors) to maintain fiscal accountability and transparency.
Key Responsibilities
Financial Management & Reporting
Perform monthly financial reconciliations, including bank accounts, credit cards, and balance sheet accounts.
Prepare monthly, quarterly, and annual financial reports for leadership, the board of directors, and funders.
Monitor cash flow and prepare projections to ensure adequate liquidity for operations.
Oversee accrual-based accounting practices and ensure compliance with GAAP standards.
Develop and monitor cost center budgets, ensuring programmatic and organizational alignment.
Lead annual budgeting process in collaboration with leadership; support ongoing budget forecasting and variance analysis.
Accounts Payable / Accounts Receivable
Manage accounts payable and accounts receivable processes to ensure timely and accurate payments and deposits.
Prepare and issue invoices to funders, government agencies, and partners; track receivables and follow up on outstanding balances.
Maintain accurate and up-to-date vendor and donor records.
Payroll & Benefits Administration
Oversee payroll processing, ensuring accuracy, timeliness, and compliance with applicable laws.
Coordinate payroll allocations to grants and cost centers.
Support HR with benefit reconciliations as needed.
Grant & Contract Compliance
Manage financial reporting, invoicing, and reimbursement requests for government contracts and grant agreements.
Ensure grant compliance, monitoring expenditures against restricted funding requirements.
Provide timely and accurate financial documentation for funder audits, monitoring, and compliance reviews.
Audit & Compliance
Prepare year-end financial schedules and provide support during the annual audit.
Ensure adherence to internal controls, financial policies, and regulatory requirements.
Assist leadership with developing and maintaining strong financial policies and procedures.
Other Duties
Maintain accurate financial records and documentation in accordance with retention requirements.
Support financial training and guidance for program managers and staff.
Perform other related duties as assigned to advance the financial sustainability of the organization.
Qualifications
Bachelor’s degree in accounting, Finance, or related field required; CPA or equivalent certification preferred.
Minimum 5 years of progressive accounting or finance experience, preferably in the nonprofit sector.
Strong knowledge of GAAP, nonprofit accounting standards, and fund accounting.
Experience with government grants/contracts, reimbursement invoicing, and compliance reporting.
Proficiency in accounting software (e.g., QuickBooks, Sage Intacct, or similar) and Microsoft Office Suite (Excel required).
Excellent attention to detail, analytical skills, and ability to meet deadlines.
Strong communication and interpersonal skills, with the ability to collaborate across teams.
Demonstrated commitment to the mission and values of a nonprofit organization.
