We are seeking a high-performing Executive Assistant to support our President. This role is essential to ensuring smooth day-to-day operations, strategic alignment, and cross-functional coordination across the company. You’ll be a trusted partner—handling logistics, communication, and project execution with discretion, precision, and a solutions-first mindset. Administrative: Manage complex calendars and scheduling for the President and ensure alignment across priorities. Coordinate internal and external meetings, including agenda preparation, briefing materials, and follow-ups. Serve as a central point of communication for executives, keeping stakeholders updated on key initiatives. Handle confidential information with the highest level of professionalism and discretion. Manage flights, accommodation, and travel needs. Submit and track expense reports and reimbursements promptly. Operational Support: Prepare leadership and partner meeting agendas (ranging from internal work sessions to curated dinners), guest lists, and follow-ups. Act as a liaison between teams, facilitate cross-team collaboration, and help manage ongoing internal communication and team/company updates. Provide status updates and reports to executives, keeping them informed on key projects and deliverables. Support in various projects, including research, briefings, presentations, and planning documents. Identify opportunities to improve workflows and increase team productivity. Support with executive’s external visibility, including ongoing updates on LinkedIn to continue to share the work of The FQ Team Bonding Help organize company-wide meetings, prepare presentations, and ensure clear follow-through. Coordinate team bonding activities, both in-person in multiple offices and virtually. Qualifications & Experience: 3+ years of experience as an Executive Assistant or in a high-level support role. Impeccable attention to detail and organizational skills. Excellent written and verbal communication and interpersonal skills. Ability to work in a fast-paced environment. Resourceful and solution-oriented. Can do attitude and ability to jump into projects and tasks mid-stream and ability to catch up. Driven by the belief that every problem has a solution, its just a matter of finding it. Strong multitasking skills with a proactive approach. Highly proficient in Google Suite and project management tools (Slack, Asana, etc.). Experience managing complex calendars and travel logistics for executives.
