Executive Assistant , Santa Clara, CA (Onsite, MondayFriday) We are seeking a highly polished, proactive, tech-savvy Executive Assistant who embraces leveraging AI technology to support 3 investment professionals within a fast-paced venture capital environment. This role requires exceptional organizational skills, sound judgment, and the ability to always operate with discretion and efficiency. As a key partner to the investment team, you will play a critical role in maximizing executive effectiveness by managing complex scheduling, coordinating high-level interactions, and ensuring seamless day-to-day operations. You will regularly engage with portfolio company executives, prospective founders, and limited partners, serving as a professional and credible representative of the firm. Key Responsibilities Manage complex and ever-changing calendars across multiple executives, ensuring strategic prioritization and alignment Coordinate extensive domestic and international travel, including detailed itineraries and real-time adjustments Serve as a primary point of contact for internal and external stakeholders, including portfolio company leadership, prospective investments, and limited partners Plan and execute board meetings and investor-related activities for portfolio companies Coordinate internal and external meetings, including logistics, materials preparation, and follow-ups Track and manage action items, proactively ensuring timely execution and alignment with business priorities Prepare and process expense reports, invoices, and related administrative documentation Support firm-hosted events and offsites, including planning and on-site execution Provide cross-functional administrative support and coverage for the broader team as needed Handle ad hoc projects with a high degree of ownership and attention to detail Qualifications 5+ years of experience supporting senior executives, ideally within venture capital, private equity, or a high-growth, fast-paced financial services industries Demonstrated ability to manage competing priorities in a fast-paced, high-demand setting Exceptional attention to detail and strong organizational discipline High level of professionalism, discretion, and sound judgment Strong written and verbal communication skills Proactive mindset with the ability to anticipate needs and solve problems independently Confident, polished presence with a service-oriented approach to stakeholder interactions Technologically adept, with proficiency in Microsoft Outlook and experience leveraging AI tools to enhance productivity Proven ability to manage sensitive information with the highest level of integrity Work Environment & Schedule Onsite in Santa Clara, CA, Monday through Friday Standard hours are 7:30 AM 4:30 PM PT, with flexibility as business needs require Compensation Highly competitive compensation package, commensurate with experience
