MAIN FUNCTION: The Executive Assistant is responsible for providing routine, detailed assistance to the Executive Director and other members of the administration team and assures the agencys compliance with applicable laws, regulations, and policies.
DUTIES/RESPONSIBLITIES:
Participates in research, development, implementation, and maintenance of all data collection, data review, and quarterly QA/QI projects/meetings along with the Administrative Team.
Acts as a liaison between the EMR system as well as providing necessary documents required for each employee to be compliant with EMR.
Prepares reports and/or recommendations required by the QA/QI committee and the Executive Director.
Responsible for distributing, compiling, data entry, and reporting for client quarterly and yearly surveys.
Daily mail pick-up and distribution.
Responsible for daily deposit.
Responsible for a yearly Region 4 company compliance audit.
Responsible to ensure state licensure is renewed yearly and posted in the building.
Responsible for Occupancy Certificates according to Nebraska State Fire Marshall requirements.
Acts as a liaison between our contracted technology companies and employees to ensure technology is compliant with software updates and includes distributing laptops, signature pads, and any other technology needed by the employee.
Coordinates and manages Health & Safety including compiling meeting notes, monthly drills, recording quarterly building inspections, collecting, and organizing all Incident Reports, compiling all transportation mileage documents, and ensuring each employee is in compliance with the necessary items at his/her workstations.
Responsible for creating any forms needed for clients and/or employees.
Responsible for reaching out for maintenance with contracted companies on all distributed hardware throughout the office such as laptops, copiers, printers, fax machines, cell phones, and postage meter.
Collaborate with the Administrative team to be compliant with CARF standard practices, Managed Care Company standards, and HRSA standards (Health Resources Services Administration).
Responsible for emailing a quarterly outcome measure report to the Region.
Works with the Executive Director as a signatory for all outgoing checks.
Maintain a Notary Public.
Maintains all records/minutes for the BOD (Board of Directors).
Ensure all fire extinguishers are up to date and working by documenting them on a quarterly basis.
Responsible for ordering and distributing all new cell phones for employees.
Responsible for keeping an ongoing spreadsheet for all technology hardware.
Attends required meetings as directed by the Executive Director.
Assists Executive Director with tasks as assigned.
Assists Human Resources Director with tasks as assigned.
REQUIRED SKILLS/ABILITIES:

Ability to work independently and organize time effectively.
Excellent verbal and written communication skills.
Proficiency in Word, Excel, and Google Docs.
Maintains ethics and confidentiality as dictated by profession.
Strong interpersonal skills in working with diverse populations.
Possess a valid drivers license and an insurable driving record.
EDUCATION & EXPERIENCE:
Minimum of an associates degree from an accredited college or university or three years of experience working with compliance and quality assurance.
