We are seeking a Donor Services and Operations Specialist to join our Development team, which is committed to supporting our donors and stakeholders. As a Donor Services and Operations Specialist, you will play an important role in working with the Impact Advancement team to optimize the donor experience and help maximize fundraising efforts. This includes working closely with internal stakeholders and vendors to assist in the management of constituent records and established processes for offline donations received at the Support Center, assist with the monthly reconciliation of contributions recorded in Virtuous and Financial Edge, and courteous donor services. What you'll do:

  • Timely and accurately retrieve, open and log all donations received by mail and scan to Chase Bank for deposit. Verify that all checks are successfully deposited and rescan if needed.
  • Maintain compliance with defined Buckner procedures to ensure security of checks, cash and credit card information.
  • Retrieve daily donation report and PDF scans from J.P. Morgan Access portal and transfer to appropriate Teams folder for processing by gift processing team.
  • Save daily lockbox deposit report in Lockbox Reconciliation folder to reconcile with gift information recorded in Virtuous.
  • Retrieve lockbox correspondence PDF file and update constituent records as needed. Forward all Acquisition correspondence to Mass Communications team for processing.
  • Assist with the accurate and timely recording of donations received through electronic funds transfer or ACH deposits as needed.
  • Assist with the accurate and timely acknowledgement of all donations, including standard gift receipts and special handling acknowledgement letters for Tribute, In-kind, Pass-Through, Stock and IRA QCD donations.
  • Process returned mail or updates received through electronic or phone notification. This includes, but is not limited to updating name, address, phone numbers, mailing status, regions, email subscriptions, or other coding as needed to support the output needs of the donor information system.
  • Serve as liaison between gift processing team and Impact Advancement fundraisers to obtain Gift Forms and communicate appropriate information to help ensure and maintain accurate payments, pledges, and constituent data in Virtuous.
  • As needed, assist with the management of the Donor Services email inbox, and respond to donor inquiries as appropriate.
  • Answer phone calls, take and relay messages, and respond to donor inquiry calls as appropriate.
  • Work with Sr. Director of Donor Engagement and Operations and Data Management team to assist with the reporting and reconciliation needs of Financial Services.
  • Create and/or update constituent records as needed in support of event registration and participation.
  • Review and accurately process mail, faxes, emails, and other correspondence in a timely manner. Sort, open, and distribute incoming mail and packages to appropriate staff/collaborator; send outgoing correspondence.
  • Perform all duties in a courteous manner and maintain excellent customer service, including, but not limited to, cheerfully greeting donors, coworkers, and others and exercising respect with coworkers.
  • Maintain confidentiality of all information and use appropriate discernment when handling confidential data.
  • Maintain compliance with all Buckner policies, procedures, and requirements. Maintain compliance with all state and federal laws and regulatory requirements.
  • Work successfully as part of a team and responsible for developing then maintaining strong working relationships with coworkers, donors, and others.

What you'll bring:

  • High School diploma or GED, plus work experience in gift processing, accounting, or other related field is required.
  • Minimum 1-3 years prior related experience in accounting and/or gift processing required.
  • Involves ability to define problems, collect data, establish facts, and draw conclusions dealing with abstract variables.
  • Recent computer training or computer experience preferred. Word processing, constituent database, and spreadsheet experience required. Excellent aptitude for using other office equipment such as copy machines, fax machines, typewriters, and calculators. Prior related experience with fundraising and accounting systems and software preferred.
  • Requires accuracy in typing, letter composition, and record keeping.
  • Requires the ability to communicate clearly and make self understood in face-to-face situations and over the phone.
  • Requires proficient skills for attention to detail and ability to maintain a routine.
  • Requires ability to relate positively, influentially, and sensitively to a broad spectrum of persons in a variety of multi-tiered relationships and settings.
  • Requires ability to maintain confidentiality; ability to work with moderate supervision exercising excellent professional judgment required.
  • Requires professional commitment to Christian principles and teachings so as to perform tasks and responsibilities in alignment with Buckner's mission, vision, and values.
  • Requires ability to use up to 20 pounds of force occasionally and/or up to 10 pounds of force frequently and/or 5 pounds continuously to move objects.
  • Requires ability to walk, stand, and sit, sometimes for prolonged periods of time. Requires ability to sit approximately 75% of shift.
