General Job Description
Th eDistrict Accounts Receivable and Administrative Assistant Serves as a member of the District Office Staff of Leman Academy of Excellence. Will supply appropriate information regarding Leman Academy to our families, community, and surrounding groups of interest. In addition, the District Accounts Receivable and Administrative Assistant will also serve the Business Office with finance duties and responsibilities.
Line of Authority/Reports to: The CFO with indirect reporting to the District Leadership Team
Job Goal: To perform such actions as required to establish a warm and welcoming atmosphere as the District Accounts Receivable and Administrative Assistant will often be the first impression of our schools to visitors, as well as providing the necessary clerical responsibilities required for the administration of the office in order to assure the smooth, efficient operation of the K-8 school district office.
Qualifications/Minimum Requirements:
- Minimum of a high school diploma or its equivalent.
- Valid AZ IVP Fingerprint Clearance Card and background check.
- First Aid and CPR Certification.
- Prior experience working in a school’s front office preferred with a working knowledge of school organization and procedures.
- Strong verbal, written, and interpersonal communication skills to positively impact the school community with an ability to build strong relationships.
- Ability to communicate effectively and professionally with scholars, parents, co-workers and the public at large.
- Strong commitment to supporting the principles of excellence in education.
- Ability to manage conflict resolution with an attitude of humility and service.
- Working knowledge of Microsoft Office Suite products (Excel, Word, etc.) and familiar with other related software programs.
- Working knowledge of Information Technology related to Scholar Accountability Information System (SAIS) software program –OR- a willingness to learn and effectively understand such a software program.
- Ability to work independently prioritizing tasks to meet deadlines while maintaining a high degree of accuracy and attention to detail.
- Ability to operate office equipment as required on assignment; i.e. fax machine, copier, computer, etc.
- Ability to set-up and use an efficient filing system.
- Ability to compile information, prepare reports, maintain confidentiality in performing assigned tasks, adopt effective courses of action, and deal effectively with parents, staff, and the general public requiring knowledge of school policies and procedures.
- Ability to perform secretarial and administrative support functions requiring independent judgment, decision-making and problem solving.
- Ability to lift boxes and packages of varying weights and move them to other locations.
Duties and Areas of Responsibility:
- Answer and manage incoming calls / take and relay messages related to the business of the CFO
- Prepare and edit correspondence, communications, presentations, and other documents
- Review enrollment at all campus locations and provide an update on student retention data to the CFO on a weekly basis
- Bank Reconciliation
- Enter data and deposits
- Receipting tax credits (prepare and mail letters)
- Update and Maintain spreadsheets
- Prepares annual reports for various states
- Provide general Administrative & clerical support to Management Team and district staff
- Receive and distribute mail and maintain postal supplies
- Record, transcribe, and distribute incoming communications
- Receive and help process records requests (if needed) in a timely manner
- Take meeting notes as requested
- Arrange for travel plans for District Management Team
- Prepare and process Expense Reports and Travel Reimbursements for District Management Team
- Assists CFO and Management with preparation of Leadership Meeting materials
- Assist with scheduling appointments
- Assist with event planning for District Meetings and related activities
- Maintain supplies for District meetings, events and daily activities
- Maintain the front office area related to appearance
- Maintain confidentiality per FERPA
- Assist with parent partnerships
- Support CFO and District Management Team by performing other related duties as assigned
