Department Assistant - Health Services
This position supports administrative and staff functions in Health Services, which require a range of skills and knowledge of organizational policies and procedures. This role works closely with Travel Health and Immunizations, assists and directs visitors; resolves administrative problems and inquiries; composes, edits, and proofreads correspondence and reports, and assists professional staff.
HOURS 0.75 FTE - Mostly 5 days per week during the academic year (late August through Mid-May) and 2 days a week during the summer.
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but not limited to the following.
1. Collaborate with Travel Health & Immunizations staff to maintain travel and immunization related compliancy. Manage all travel correspondence and maintain travel databases (compile travel rosters, etc.). Complete appropriate weekly reporting and maintain vaccine inventory and supplies.
2. Coordinate vaccine clinics offered on campus.
3. Support clinical staff by scheduling appointments (initial and follow-up), facilitating medical record requests, organization of paper records and chart abstraction. Maintain patient accounts by obtaining, recording and updating personal and financial information.
4. Support administrative staff by assisting with greeting patients and visitors, answering and routing phone calls and inquiries, distributing mail, responding to the Health Services e-mail account; handling copies and faxes, and communicating all services, costs, deadlines, insurance and vaccination requirements of the university. Provide back-up for office receptionist, including check-in and check-out of student appointments, tracking inventory, forms and paperwork. Keep lobby area clean and organized.
5. Coordinate communication about health requirements and deadlines for current and incoming students. Responsible for updating forms, tracking and reporting on student compliance, and enforcing deadlines.
6. Protects patient rights by maintaining confidentiality of health information.
SUPERVISORY RESPONSIBILITIES
Provide direction for and oversees day to day activities of student workers.

EDUCATION and/or EXPERIENCE
This position requires an Associate's degree (A.A.) or equivalent from a two-year college or technical school; one to three years of experience in a medical office setting; or equivalent combination of education and experience. Knowledge of computers and Microsoft Office products is essential. Knowledge of medical terminology and/or experience in a medical office, with insurance and/or medical billing is helpful. Knowledge and/or experience of Electronic Medical Record (EMR) software.
OTHER SKILLS AND ABILITIES
1. Excellent computer skills and experience in Microsoft Office products are necessary.
2. Must have excellent organizational skills and be detail oriented.
3. Excellent communication and public relations skills are required.
