JOB SUMMARY:
The primary purpose of the Business Office Assistant is to provideessential support to the Business Office Manager by performing a variety ofadministrative and financial functions. This role is responsible for assistingwith resident trust accounts, billing verification, insurance authorizations,and other duties critical to the financial and operational health of thefacility. The ideal candidate is detail-oriented, trustworthy, and comfortablehandling sensitive financial and resident information.
JOB DUTIES &RESPONSIBILITIES:
Resident Financial Functions Manage resident trust fund and petty cash disbursements; ensure funds are secured in a locked area or safe. Prepare and distribute quarterly trust statements in accordance with regulatory requirements. Accept and process liability payments and maintain accurate financial records. Assist with preparing and submitting representative payee applications. Review medical and ambulance bills to determine facility financial responsibility. Assist with Medicaid applications and follow-up correspondence to ensure timely processing. Reconcile monthly skilled days and verify billing accuracy. Prepare and distribute monthly financial statements for residents or responsible parties. Submit and track continued stay authorizations for insurance and managed care payors. Oversee delivery of Notices of Medicare Non-Coverage (NOMNC) and ensure compliance. Review, process, and manage invoices for timely payment. Maintain vendor files and communicate with vendors regarding billing issues. Maintain the American Express card log and ensure responsible handling of purchases. Deliver Ombudsman notifications for bed holds and discharges as required by state/federal regulation. Assist in determining the need for and obtaining pre-authorization for managed care payers including those for primary, secondary, and ancillary services. Ensure that required ongoing authorizations are obtained by facility clinical staff. Collect all upfront monies due upon admission. Ensure the collection of all private pay balances as they become due and payable.
JOBREQUIREMENTS:
Education High school diploma or equivalent required; associate degree in business or healthcare administration preferred.
Experience 1-2 years of experience in a healthcare business office or similar financial/administrative role preferred. Knowledge of Medicaid, Medicare, and insurance billing practices. Strong attention to detail and confidentiality. Proficiency with Microsoft Office and facility billing/EMR systems. Ability to prioritize tasks and manage timeeffectively.
