Position Summary
The Office Manager is a key leadership role responsible for overseeing daily administrative operations, ensuring compliance with Maryland BHA requirements, and supporting clinical and operational staff to maintain seamless and efficient service delivery. The ideal candidate will have strong administrative skills, knowledge of Maryland's behavioral health system, including BHA regulations and COMAR guidelines, and experience in managing multidisciplinary teams in a fast-paced healthcare setting.
Key Responsibilities
Administrative Oversight
Oversee daily front-office operations, including reception, scheduling, client records, and general office maintenance.
Supervise administrative staff and provide training, support, and performance evaluations.
Ensure the clinic is fully stocked with office and clinical supplies, and liaise with vendors.
Monitor and manage clinic schedules, ensuring optimal utilization of providers’ time.
Compliance and Documentation
Ensure compliance with BHA, Medicaid, and COMAR documentation standards.
Oversee and audit client records for accuracy, timeliness, and completeness.
Assist with preparing for audits, inspections, and licensing renewals.
Maintain accurate personnel files, training records, and organizational compliance documentation.
Billing and Reporting Support
Collaborate with billing department and clinical staff to ensure accurate coding, billing, and documentation.
Generate and manage monthly and quarterly reports required by BHA and internal leadership.
Support credentialing and re-credentialing processes for clinical providers.
Client Services and Communication
Serve as the first point of contact for client concerns or complaints, providing prompt and professional resolutions.
Promote a welcoming and supportive environment for clients and families.
Coordinate intake and admission processes with clinical staff.
Operational Leadership
Facilitate interdepartmental communication to enhance team collaboration and efficiency.
Develop and maintain SOPs (Standard Operating Procedures) for front office and administrative processes.
Support grant reporting, policy implementation, and staff onboarding initiatives.
Required Qualifications
Associate’s or Bachelor's degree in Healthcare Administration, Business Administration, or related field.
3–5 years of administrative or office management experience, preferably in a behavioral health setting.
Strong working knowledge of Maryland BHA requirements and COMAR regulations.
Proficient in EHR systems (e.g., ICan Notes).
Exceptional organizational, time management, and communication skills.
Experience managing teams and handling confidential information with discretion.
Qualifications
Prior experience working in or managing an Outpatient Mental Health Clinic (OMHC).
Familiarity with Maryland Medicaid, authorizations, and billing systems.
Certified Medical Office Manager (CMOM) or similar credential .
Understanding of Recovery Support Services and PRP regulations.
