We are looking for a proactive and adaptable Administrative Assistant to join our team. The ideal candidate is a strong team player who is a dedicated problem solver, possess excellent organizational skills, a proactive attitude, and the ability to balance multiple tasks in a fast-paced, time-sensitive environment. This role provides essential day-to-day support to engineering teams, manages conference room logistics, and plays a key role in planning events and maintaining a well-functioning workplace.

Responsibilities

As part of a collaborative administrative team, you will provide high-level in-office support to multiple teams of Software Engineers, including:

  • Assist in managing a Sr. Manager/Directors calendar, demonstrating flexibility and problem-solving abilities to adjust or prioritize scheduled based on last-minute changes
  • Ordering and restocking office and break room supplies, maintaining a well-stocked and organized environment
  • Managing and tracking of general building requests, often acting as the primary point of contact for vendors and ensuring completion of tasks
  • Management of multiple conference room calendars logistics
  • Coordinating catering requests for meetings and events, working with internal systems and vendors to ensure timely delivery and setup.
  • Onboard new employees, ensuring they receive necessary supplies, equipment, and security compliance.
  • Create, manage and track small purchasing orders

Minimum Qualifications

2-3+ years of experience in an administrative or facilities support role

Experience with Calendars and Mail

Strong verbal and written communication skills

Ability to lift up to 20 lbs

Preferred Qualifications

Highly organized with the ability to multitask and prioritize effectively

Comfortable working independently and within a team

Demonstrate discretion, tact, and sound judgment when handling confidential information

Proactive, curious, and resourceful with strong problem-solving skills

Friendly, positive, and professional demeanor

Pay & Benefits

At Apple, base pay is one part of our total compensation package and is determined within a range. This provides the opportunity to progress as you grow and develop within a role. The base pay range for this role is between $35.98 and $53.98/hr, and your base pay will depend on your skills, qualifications, experience, and location.
