Administrative Assistant - Legal Department - Temporary Assignment Location: Valhalla, NY (Full-time onsite) Duration: Through January 2025 Employment Type: W2 Contract via Staffing Agency Compensation: $22/hour Position Overview We are seeking a detail-oriented Administrative Assistant to provide comprehensive administrative support to the Legal Department of a large healthcare facility. This role involves managing legal documentation, coordinating with multiple departments, and ensuring efficient operations while maintaining strict confidentiality and professionalism in a fast-paced healthcare environment. Key Responsibilities Legal Documentation Support: Prepare, format, and maintain legal documents, contracts, correspondence, and case files while ensuring accuracy and confidentiality Calendar & Meeting Management: Schedule appointments, coordinate meetings, and manage calendars for legal department attorneys and staff Communication Coordination: Serve as point of contact for internal departments, external counsel, and vendors while screening calls and managing correspondence File Management: Organize and maintain electronic and physical filing systems for legal documents, ensuring proper categorization and easy retrieval Administrative Support: Provide general administrative assistance including data entry, copying, scanning, and document preparation Compliance Assistance: Support compliance tracking and documentation while maintaining confidential information in accordance with healthcare regulations Report Preparation: Compile information and assist in preparing reports, presentations, and administrative summaries for legal team Database Management: Update and maintain legal databases, tracking systems, and contact information Special Projects: Support various legal department initiatives and projects as assigned by legal counsel and department leadership Required Qualifications High school diploma or equivalent required (Associate's or Bachelor's degree preferred) 2-4 years of administrative experience, preferably in legal or healthcare environments Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Excellent written and verbal communication skills Strong organizational skills with exceptional attention to detail Ability to handle confidential and sensitive information with discretion Ability to work independently and manage multiple priorities effectively Strong interpersonal skills for working with diverse stakeholders Experience with electronic filing systems and document management Professional demeanor and ability to work in fast-paced environment Ready to support critical legal operations in a dynamic healthcare setting?
