About You
As an administrative assistant, you will provide professional support and customer service to Legal Services, Policy Services, and Community College Services (P&L), and excellent customer service to TASB members. You will answer multi-line phones and be able to answer questions, direct callers to the appropriate area, or assign legal questions to attorneys. You will work with team members on projects such as planning and providing support for training events, scheduling and calendaring meetings, and providing assistance at TASB events. You will work with and coordinate projects with internal departments on issues related to, registering copyrights for Policy Service and Community College Services, print jobs, work orders, meeting registrations, and more. You will manage your projects independently and meet or beat deadlines. You will also work as part of a team on major projects to achieve TASB and service area goals. This is an onsite role requiring the selected candidate to work at our TASB headquarters 5 days a week.
A Typical Day
- Answer busy multi-line phone, and transfer calls as appropriate, or obtain pertinent information from caller and assign calls to attorneys.
- Collect information regarding must-have-offs from attorneys and create a monthly phone calendar.
- Schedule meetings, reserve meetings rooms, and update Outlook calendars for P&L staff.
- Register P&L staff for training events and memberships.
- Work with team members to plan and provide support for major training events held across the state.
- Order supplies, submit work orders, and manage or coordinate print requests.

How You’ll Make an Impact
- Answer phone lines for each division within P&L. Provide professional, personable, customer service when answering and processing incoming requests for legal or policy assistance on the multi-line telephone system. Regularly check the voice mailbox. Accurately process calls in accordance with protocols established by each division. Create and maintain the phone duty calendar for Legal Services.
- Regularly check the division email boxes. Accurately process emails in accordance with protocols established by each division.
- Assist with scheduling and calendaring meetings, reserving rooms, and updating internal Outlook calendars for P&L.
- Organize and oversee all print orders and provide support for printing on local printers.
- Submit and monitor the status of facility work orders, outside of the onboarding process.
- Send communications for each division within P&L. Finalize and store correspondence.
- Provide support for internal meetings, as needed.
- Register P&L staff for events and organization memberships.
- Register copyrights for Policy Service and Community College Services.
- Provide assistance and information responsive to requests related to policies, and/or general information about P&L or TASB.
- Reserve rent cars and coordinate staff seminar, convention, workshop, and professional development travel, if necessary.
- Attend and provide assistance at the annual TASB Convention, Council of School Attorneys meetings, and other seminars and meetings, as requested.
- Document and maintain administrative procedures.
- Perform other administrative duties as necessary, such as troubleshooting or providing minor maintenance of division equipment, ordering and organizing supplies, and assisting with designing and modifying templates.
- Assist with other administrative projects as requested by the Assistant Director, Legal Operations.
Skills For Success
Education and Experience:
- Bachelor's degree from an accredited college or university.
- Experience in office administration, administrative support, legal or policy support, or closely related field may be substituted for the required education on a year-for-year basis.
Knowledge, Skills, and Abilities:
- Ability to answer multi-line phones.
- Ability to exercise diplomacy, discretion, and confidentiality.
- Knowledge of office practices, administrative, and technical procedures.
- Ability to communicate effectively and professionally in both written and oral formats.
- Strong proficiency in the use of standard office equipment and desktop applications, including but not limited to MS Word, Excel, Kontent.ai, CRM (phone log and database updates), EBX, Outlook, PowerPoint, Calendar Creator, PowerBi.
- Excellent customer service and administrative skills.
- Typing skills: 50 wpm.
- Ability to manage changing priorities, maintain effective working relationships, pay close attention to detail. and produce an accurate work product under minimal supervision with multiple distractions.
- Exceptional organizational skills.
- Ability to receive and respond positively to constructive feedback.
- Ability to travel, including overnight travel.
