Administrative Assistant – Education

Location: Austin, TX Reports To: Education Manager Status: Full-Time, Non-Exempt

Position Overview

We are seeking a highly organized and proactive Administrative Assistant – Education to support the Education Manager and team. The ideal candidate will be detail-oriented, flexible, and able to manage multiple priorities in a fast-paced environment. This position plays a key role in ensuring the smooth operation of our education department.

Key Responsibilities

Clerical & Administrative Support

  • Prepare reports, memos, emails, and correspondence
  • Manage scheduling, calendar coordination, and meeting logistics
  • Maintain filing systems, supply inventories, and handle incoming/outgoing mail
  • Take and transcribe meeting minutes
  • Answer and screen phone calls and provide general office support

Communication & Collaboration

  • Share information clearly and professionally with various stakeholders
  • Coordinate with staff, teachers, and families regarding meetings and child development updates
  • Maintain confidentiality in all communications and record-keeping

Professionalism & Compliance

  • Follow all policies and procedures in accordance with Head Start standards, Child Inc. policies, and licensing guidelines
  • Maintain professional boundaries with families and staff
  • Attend required trainings and contribute to personal and team development

Qualifications

  • High school diploma or GED required
  • Minimum of one year of post-high school education in a related field
  • At least one year of experience in an administrative or clerical role
  • Strong computer and communication skills
  • Reliable transportation, valid driver's license, and liability insurance required
  • Must be able to work at any Child Inc. center location as needed

Physical & Work Requirements

  • Ability to sit, stand, walk, lift up to 25 lbs, and perform office-related tasks
  • Some in-area and occasional out-of-area travel may be required
