Administrative Assistant - Community Relations

The individual in this position will be the first point of contact for citizens visiting our Community Relations Department and will be responsible for administrative functions of the department. Under general supervision, performs a variety of clerical, administrative, and internal support functions. Performs receptionist duties, aids department staff and the public, and relays information or refers to other resources as appropriate. Work in this position requires a high degree of professionalism, discretion, and adaptability. This position is classified as non-exempt and is subject to the Fair Labor Standards Act overtime regulations.
Greets citizens, staff, and elected officials in a professional manner and provides information as requested.
Provides administrative and clerical support including but not limited to filing, photocopying, faxing, scanning, creating documents, generating correspondence, and calendar management.
Assists with meeting and event preparation and outreach initiatives. Attends events to provide support.
Responds to phone, email, and walk-in inquiries, referring to appropriate departments as needed.
Develops and distributes marketing and promotional materials, such as flyers, brochures, and e-newsletters.
Prepares and schedules newsletter content, social media posts, press releases, and website updates.
Manages website pages related to events, public meetings, and other outreach activities.
Creates graphics for digital and print distribution.
Picks up incoming mail and delivers outgoing mail daily.
Notarizes documents upon request.
Enters Purchase Orders and receipts for the Community Relations Department.
Manages office supplies, promotional product inventory, and breakroom supplies.
Performs other duties as required.
EQUIPMENT OPERATED: Copy machine, computer with Microsoft Office suite, calculator, and other assigned equipment.
REPORTING RELATIONSHIP: This position reports to the Community Relations Director.
WORKING CONDITIONS: Employee is not subjected to adverse environmental conditions.
Must be able to physically perform the basic life operations functions of fingering, grasping, talking, hearing and repetitive motions.
Must be able to perform sedentary work occasionally exerting 10 pounds of force.
Must possess the visual acuity to prepare and analyze figures, perform transcription, operate personal computer, and perform extensive reading.
JOB CONTEXT: This position works 40 hours per week in the office during the five-day work week. Evenings and weekends may sometimes be necessary to fulfill job duties. The stress level of the job is low.
EDUCATION: Graduation from an accredited high school is required. An Associate or Bachelor?s degree in business management, public relations, or related degree preferred.
EXPERIENCE: Administrative support or clerical experience involving public contact preferred. Experience of an increasingly responsible nature in executive support preferred.
KNOWLEDGE, SKILLS AND ABILITIES: Thorough knowledge of Microsoft Office.
Strong written and verbal communication skills.
Strong organizational and time management skills.
Proficiency in digital communication tools of various mediums, including but not limited to social media, website content management systems, and graphic design software.
Ability to maintain confidentiality and handle sensitive information with professionalism
Ability to manage competing priorities and execute assigned tasks efficiently with strong attention to detail.
Ability to work independently or in a team environment.
Ability to establish and maintain effective working relationships with diverse stakeholder groups, including but not limited to elected officials, department directors, Town staff, and members of the community.
SPECIAL REQUIREMENTS: Notary Public designation preferred. Valid North Carolina Driver License required.
