Team Shaw is in need of an experienced Administration Manager to support its growth initiatives and mission while maintaining a strong focus on personal and professional development.
Job Overview:
As the Administration Manager at SERVPRO, you will oversee and coordinate all administrative functions to ensure the office runs smoothly, efficiently, and in compliance with company standards. This role is critical to supporting our operations, production, and leadership teams through effective workflow management, documentation, and customer service support. You will be responsible for leading the administrative staff, streamlining office procedures, and maintaining a high level of organization and professionalism across all departments.
Key Responsibilities:
Oversee daily administrative operations, ensuring timely and accurate completion of tasks.
Supervise, train, and support administrative staff, promoting a productive and collaborative work environment.
Coordinate scheduling for project managers, estimators, and production teams, ensuring alignment across departments.
Ensure accurate and timely data entry into project management and CRM systems (e.g., WorkCenters, Xactimate, etc.).
Manage billing, collections, and insurance documentation in collaboration with the accounting department.
Maintain organized digital and physical filing systems for job files, customer communications, and compliance documents.
Provide support for customer service interactions, including handling escalations, scheduling, and follow-ups.
Assist with payroll preparation and HR-related administrative functions as needed.
Track job progress, generate reports, and assist in the preparation of internal audits and performance reviews.
Ensure the office is well stocked with necessary supplies and equipment; manage vendor relationships as needed.
Uphold SERVPRO brand standards in communication, presentation, and customer interactions.
Qualifications:
Proven experience in office administration or management (experience in restoration or construction industry preferred).
Strong leadership and team management skills.
Excellent written and verbal communication skills.
High attention to detail, organization, and problem-solving abilities.
Proficiency in Microsoft Office Suite and cloud-based platforms (e.g., SharePoint, QuickBooks, Xactimate, WorkCenters).
Ability to handle multiple tasks and deadlines in a fast-paced environment.
Customer-focused with a proactive and solution-oriented mindset.
