The project accountant primarily manages the accounting process related to the architectural studios by being responsible for project billing, which includes direct communication with clients and vendors to resolve their inquiries, verifying employee's chargeable time, and analyzes vendor expenses for accuracy in accordance with the established accounting standards and billing policy. He/She must exercise effective time management and will conduct work within AO standards.
Essential Job Functions Following Company policies, procedures and applicable federal, state, and local laws, codes and regulations, the Project Accountant is responsible for overseeing and managing the financial matters of a specific project, ensuring it stays within budget, handling billing, expense tracking and financial reporting and other accounting functions as needed.
The Project Accountant independently manages the assigned project budgets working directly with the Lead PM or Principal of the project to include the following: Manage accuracy of all project records in the firm's database to include client data, contract tracking, project budgets, billing & payment terms, and required billing documents to ensure accurate financial reporting. Oversees the budgeting process of additional services (ASA) for accuracy in the billing system. Advises Project Managers on amounts needed for ASA's for project profitability. Independently consults with clients on invoicing and adjusts invoices as needed. Effectively communicate with Project Coordinators and/or project staff regarding client and vendor documents. Manage the process for accounts payable associated with consultants' invoices to be included as part of the client billing. Analyze Consultants Statements and request missing invoices. Train new Project Managers or Principals of draft bill process according to standard billing procedures. Manage billing drafts; unbilled reports; billing spreadsheets and distribute for PM's review. Manage client invoices with appropriate support documents to be sent to client for payment. Manage A/R Statements and submit with invoices Maintain the electronic billing records with the appropriate documents, including expenses, consultant invoices, and monthly client invoices, in accordance with standard procedures. Manage monthly accounts receivable reports; contact clients and project staff in accordance with the collections policy. Manage special project analytic reports for Project Manager, Principal, clients, and vendors associated with payment or budgets. Provide PMs with any project related reports such as Project Summary, Office Earnings, Consultant Ledgers, Labor Detail etc. Perform other duties as assigned. Required Skills and Abilities Strong time management skills Accurate and detail oriented Ability to research and willingness to learn Strong business oral and written communication skills Basic understanding and proficiency using the following software: MS Office Deltek Vision (preferred) Adobe Acrobat and/or Bluebeam (preferred)
Education and/or Experience
Education and/or Experience Bachelor's degree, preferably in Business or Accounting; or a two (2) year Associate's Degree in accounting or business administration with three (3) years or greater of basic accounting experience, or equivalent combination of education and experience 1-5 years' experience as a Project Accountant Proficiency in office software applications including MS Excel and MS Word Proficiency in use of general accounting software program(s) Comprehensive knowledge of accounting terminology Ability to gather, calculate and analyze figures including discounts, interests, commissions, and percentages Ability to choose the right mathematical methods or formulas to solve a problem Ability to read and interpret documents including contracts and other agreements Ability to simultaneously handle several tasks, prioritize and plan effectively Ability to maintain accuracy and thoroughness in designated tasks, including maintenance of efficient filing system for designated account(s) Ability to communicate and coordinate effectively with other staff concerning designated tasks
