The Physician Recruitment Coordinator supports the growth of Valley Health by assisting the in-house Physician Recruitment Manager and Physician Recruiter in a fast paced, high-energy environment while strengthening the company's image as the employer of choice. This will be achieved through the development of local and regional recruiting plans, advancing positive experiences and outcomes, developing new and creative recruitment ideas.
Responsibilities and Duties
Responsible for overseeing all locum coverage needs, manages locum contracts, presenting to VH Team and managing initial locum screening. Leads confirmation to secure locum candidates following system approvals. Manages oversight ensuring all locums receive clearance through credentialing and employee health as well has setting up orientation, lodging and 1st day instructions. Coordinates invoicing to the proper department for processes for locum expenses. Screens/vets calls for agencies on locum providers for PR Team.
Manages steps for processing sign on and relocations for all new hire providers as well as leased practices for approval and processing.
Coordinates and ensures all WV hires and transfers are scheduled for required background/fingerprinting appointments and sends clearance paperwork to HR.
Processing paperwork of all internal transfers, promotions, and status changes and ensuring all requirements are met for internal candidates, monitoring and posting requisitions, as they are approved.
Coordinating and hosting meetings on a virtual platform prior to in-person scheduling. Reserves physician/APP candidate travel (i.e., flights, rental cars, etc.), lodging, and various other accommodations for their local visit.
Works cooperatively with Physician Recruitment and the Human Resources department as needed to handle payroll issues, benefit questions, scheduling interviews, and processing onboarding paperwork in relation to new hires, promotions, etc.
Organizes in collaboration with local real estate representatives to coordinate community showcasing of neighborhoods, school systems, etc. across Shenandoah Valley. Following up with real estate representatives when a candidate has signed so that they can begin the process of acquiring local housing prior to their start date.
Managing purchasing needs for department including office supplies and recruitment needs.
Coordinating interviews for Physician and APP candidates across VH system, including private and leased practices. Works alongside hospital leadership and upper management to solidify fluidity in appointments and scheduling for said interviews. Sending calendar invites for all scheduled meetings, ensuring they're received and accepted, and following up with an in-depth itinerary that provides details to meeting location and time. Working closely with Physician Recruiter to ensure itinerary structure in draft forms reaches final version/completion to share with all parties involved in interview.
Works collaboratively with Physician Recruiter to monitor and update department physician/APP candidate tracking software and reporting those updates in monthly meetings. Maintaining all relevant files in this software, such as professional references, background checks, hiring dates, feedback summaries, onboarding notifications, etc. This is a continuous process that follow the candidates from their presentation to their start date with Valley Health.
Provides and organizes welcome packets/bags for all candidates arriving to the area and distributes them to hotels in the community where candidates lodge. Working with community partners to arrange various accommodations for arriving/visiting candidates.
Processing paperwork for all new hires and tracking them throughout the onboarding process, meeting with all new hire to complete final paperwork and set up employee health physical, professional photo. Processes all new hire packets and sends to HR. Request orientation for all new hires.
Sends out all APP contracts through Adobe for electronic signature, sends out all onboarding notices for new hires, transfers, locums, contracted and leased practices.
Acts as point of contact from initiating onboarding and maintains regular communication with credentialing team to make sure new hires, transfers, locums and contracted providers are on track for their start date.
Acts as point of contact for all leadership, managers, and assistants as it pertains to interview details and on-site flow during interview processes. Sometimes serving as a personal liaison between departments and to off campus offices.
Managing monthly expenses for credit card transactions, invoice processing/payment, and candidate or employee reimbursements. Working alongside the accounts payable department to ensure payment and follow up on open accounts.
Education
Bachelor's degree or equivalent in business, human resources, social sciences, or related field OR minimum of 5 years recruitment/coordinator experience required.
Experience
Minimum 5 years of previous office experience in recruitment or human resources support required.
Qualifications
A wide degree of creativity, short and long-term recruiting vision, strong ability to multi-task and personal organization are essential. Candidates should possess an outgoing people-orientation disposition that will allow them to facilitate relationships with hiring managers, practice teams and candidates. Excellent communication, outstanding customer service and strong evaluation skills are a must. Position requires discretion as confidential information will be handled on a continuous basis. Excellent computer knowledge with prior MS Office experience required. Must be exceptional in spelling, grammar, and punctuation with excellent verbal and written communication skills. Accuracy a must. Requires critical judgment skills regarding organizational needs and ability to communicate effectively on a wide range of levels, including superior grammar and proofreading skills. Ability to work with minimal supervision, set priorities, and follow through to accomplish results. Ability to maintain confidentiality is mandatory. Knowledge of operations, medical terminology, and the community.
