We are seeking a highly organized and detail-oriented Medical Staff Coordinator / Medical Secretary to support the operational and administrative functions of our medical staff. This critical role requires a strong knowledge of medical terminology, healthcare administration procedures, and exceptional communication and coordination skills. The ideal candidate will ensure seamless communication among the medical staff, hospital administration, and regulatory bodies, while maintaining the highest standards of confidentiality and compliance.
Key Responsibilities:
Secretarial & Clerical Duties:
Perform general secretarial duties including scheduling appointments, billing patients, and managing correspondence.
Compile, maintain, and update medical charts, reports, and records.
Apply knowledge of hospital, clinic, and laboratory procedures to daily administrative functions.
Utilize proper English and business communication practices in all documentation and communications.
Medical Staff Coordination:
Serve as liaison between Medical Staff, professional staff, and Administration to ensure administrative responsibilities are met.
Coordinate and oversee all credentialing and privileging activities per Medical Staff policies, bylaws, and regulations.
Provide technical and administrative support to various Medical Staff committees including preparation of agendas, minutes, credentialing reports, and quality data.
Assist in the review and maintenance of Medical Staff Bylaws, Rules, and Regulations.
Office Oversight & Support:
E-Priy and Medicare enrollment/revalidation
OPPE/FPPE processes
Health Commerce System enrollment
Insurance panel and CAQH credentialing
Professional billing coordination
Practitioner scheduling
Contract and credentialing data management
Onboarding and offboarding of Medical Staff
Survey Administration:
Design, implement, and analyze organization-wide surveys, including Employee Engagement and Patient Satisfaction Surveys.
Generate reports and presentations based on survey results to support data-driven decision-making.
Qualifications:
Proven experience as a Medical Secretary, Medical Staff Coordinator, or similar role.
Strong knowledge of medical terminology and healthcare administrative procedures.
Familiarity with credentialing systems, healthcare compliance, and hospital regulatory requirements.
Excellent written and verbal communication skills.
Proficiency with Microsoft Office Suite and relevant medical administrative software.
Ability to handle confidential information with discretion.
Exceptional organizational and multitasking skills.
