We're seeking a proactive and highly organized Executive Assistant to support our leadership team and help drive operational excellence in a fast-paced startup environment. This full-time, onsite role is ideal for someone local to Philadelphia who thrives in dynamic settings, has experience supporting senior executives, and brings project management know-how (especially with tools like Monday.com), and HR administration experience is a plus.
You'll be at the center of coordination across our executive leadership team-anticipating needs, managing logistics, and keeping key projects and priorities on track. You'll help ensure smooth day-to-day operations while contributing to the long-term effectiveness of our leadership team.
Key Responsibilities
Manage complex calendars, scheduling, travel arrangements, and meeting logistics for the CEO and executive team
Prepare executive materials, including presentations, reports, and internal communications
Support project management initiatives-track tasks and timelines in Monday.com and follow up on action items across teams
Coordinate leadership meetings, document agendas, take notes, and ensure timely follow-up
Coordinate company-wide meetings such as all-hands, quarterly business reviews, goal review meetings, document and distribute agendas, and ensure timely follow-up
Handle confidential information and internal communication with professionalism and discretion
Manage expense reports, office supplies, vendor coordination, and day-to-day administrative support
Provide occasional HR administrative support (onboarding tasks, scheduling interviews, organizing HR documents, etc.)
Serve as a liaison between internal teams and external stakeholders (partners, clients, vendors)
Stay one step ahead-anticipating the needs of the executives and resolving issues before they arise
What We're Looking For 3-5 years of experience supporting executives in a fast-paced startup or growth-stage company
Based in Philadelphia, PA
Demonstrated project management experience-familiarity with Monday.com strongly preferred
Strong organizational skills and the ability to manage multiple priorities at once
Excellent written and verbal communication skills
Detail-oriented, resourceful, and thrives under minimal supervision
Experience handling sensitive information with a high degree of confidentiality
Tech-savvy with proficiency in Slack, Google Workspace, and virtual communication tools
Experience with basic HR tasks or coordination is a plus
Previous experience supporting a CEO or executive team
Background in operations or people-related functions
Passion for creating structure and improving workflows in fast-moving environments
