Role Overview
As the Executive Assistant (EA) to Coco's Leadership Team , you will be the connective tissue that keeps our fast-moving executives focused on the highest-impact work. You'll own complex calendaring, orchestrate multi-city travel, prepare pitch-ready materials, and serve as a trusted partner on special projects that touch every corner of the business. Success in this role means anticipating needs before they surface, communicating with crisp precision, and creating the operational calm that lets our leaders scale Coco's vision.
What You'll Do
Strategic Calendar & Inbox Management - Prioritize, schedule, and optimize jam-packed calendars for multiple C-level leaders; triage high-volume email and Slack traffic with sound judgment.
Key Meeting Readiness - Draft agendas, coordinate pre-reads, and compile clear, concise slide decks for meetings with high-value clients and partners.
Travel & Event Logistics - Plan complex domestic and international itineraries, negotiate vendor contracts, and manage details for exec off-sites, customer visits, and industry conferences.
Confidential Data Stewardship - Handle sensitive information (financials, HR, strategy) with absolute discretion and security best practices.
Office Culture Champion - Partner with Workplace and People teams on milestone celebrations, recognition programs, and inclusive team-building events.
What Success Looks Like
Executives consistently spend ≥70 % of their week on strategic work vs. reactive scheduling conflicts.
Mission-critical meeting materials are delivered 24 hours in advance with zero last-minute scrambles.
Coco team members get same-day responses on administrative requests, improving employee satisfaction and speeding our growth.
What We're Looking For
2+ years supporting VP-level or C-suite leaders in a fast-paced corporate environment.
Mastery of Google Workspace , Slack, GMeet, and modern EA tooling (Superhuman, Notion, etc.).
Bias for Action -you anticipate needs, flag risks early, and execute without hand-holding.
Impeccable written and verbal communication; you synthesize complex topics into crisp, executive-ready updates.
Proven ability to handle confidential data with sound judgment and integrity.
Office-first mindset -this role is based in Venice, CA and thrives on in-person collaboration.
Nice to Haves
Prior experience working at a technology company
Event-planning certification or vendor-management background.
Fluency with basic data analysis (Excel, Sheets pivot tables) to support KPI tracking.
