He is very engaged in the day to day which also causes him to have information overload. He appreciates thoughtful questions and desires someone who likes to receive clarification. He's looking for a strategic business partner.
Hiring Goal
The executive seeks to hire an Executive Assistant that has built a strong personal brand and confident style that has historically helped an executive expand capacity and leadership impact. The assistant will need to have established strengths: being nimble, proactive vs. reactive, and would self-describe as highly organized. The role comes with great responsibility and requires an individual that has a strong business acumen for handling outward and inward matters.
ROLE OVERVIEW
President Support – 60%
Inbox support, currently doing good, but knows he could be better with management of information
Heavy calendar management, some days back to back meetings
Coordinate full-cycle travel arrangements, every 5-weeks and lots of international (UK)
Prepare itineraries and coordinate full-cycle travel logistics; private and commercial travel management
Handle high volume expense reporting via Concur
Arrange meetings and coordinate logistics
Coordinate agendas and deliverables
Organize room and needs for guests
Track follow up tasks
Generate and deliver follow up emails to participants on action items
Coordinate and plan special events and projects, including monthly town hall events
Support document preparation (i.e., proofreading, copying, and formatting)
Organize and maintain contact database records, Outlook and Salesforce
Help executive optimize time by assuming requests prior to executive, which means join meetings to learn future deal demands and forthcoming activities that may involve your executive
Business Support – 30%
Support with ad-hoc tasks (e.g., researching)
Work closely with out of state team members acting as a bridge to executive and leadership team
Support client engagements up to four times a month (i.e., meeting prep, emails, and action items)
Technically savvy; work with internal IT staff member; Apple Savvy
Support with document tasks (i.e., getting signatures, helping with wire transfers, cataloging documents, and the like)
Support scheduling and agenda creation for meetings with team members (i.e., daily 1:1s)
Collaboration with the administrative team to provide an overall high level of service
Board meeting support
Support ELT meeting preparation
Office Management – 10%
Lead employee culture initiatives (e.g., arrange team building activities), help with monthly town hall meetings, work with company update correspondence
Sometimes oversee kitchen
Oversee conference rooms
Sometimes welcome guests + handle badge activities
Desired Background and Attributes

Company Offerings
Salary : $95k to $120k base salary, dependent on experience. Plus eligibility for up to 10% bonus.
401(k) or Roth : Company will match equal to 100% of the first 3% of salary contributed, then 50% of the next 3% of salary contributed; fully vested. Contribution eligibility begins the day of hire.
PTO : The company separates PTO from Vacation time. Your PTO is up to 5-days, prorated upon start date. It rests at the top of each year. It does not roll over.
Vacation : The company separates Vacation from PTO time. Your Vacation is up to 10-days, prorated upon start date. It rests at the top of each year. It does roll over (up to 40-hours).
Holidays include : 11 company holidays plus 2 floating holidays
with eligibility based on start date.
New Year's Day, Martin Luther King Jr. Day, President's Day, Memorial Day, Juneteenth (Observed), Independence Day, Labor Day, Thanksgiving, the Friday after Thanksgiving, Christmas Eve (Observed), and Christmas Day (Observed).
Healthcare : Company offers three medical plan options through Medical Health Resources; plus an HSA and FSA are available based on eligibility. Additionally, company provides a critical illness protection plan, and an optional accident protection plan is available. A Wellness credit incentive is available, up to $1,200 annually. Company offers vision and dental plan options. Company provides short and long term disability insurance, and eligible employees are automatically enrolled after 6 months of service. Company provides basic employee group life insurance and AD&D benefits, additional voluntary life and AD&D coverage is available through The Hartford. Parental leave and maternal leave options are available. Eligibility begins on the first day of the month following the date of hire unless otherwise specified.

Counseling : Counseling sessions available, company covers first 6 sessions (qualifications apply).
Additional support : Company offers optional travel assistance service that provides access to medical professionals when traveling 100+ miles from home for 90 days or less. Also, ID theft protection provided when at home or traveling.
Education : Tuition reimbursement offers eligible employees 100% reimbursement of tuition, books and fees up to $10k per year, for courses taken at an accredited institution and approved by the company.
