General Purpose
The Event Sales Representative is a key member of Fresno Chaffee Zoo's (FCZ) revenue generating team and, under the direction of the Director of Membership and Events, plays a vital role in establishing FCZ as one of the premiere event venues and destinations in the Central Valley. By cultivating strong relationships and connecting clients to unique event experiences, this role helps generate vital support for the Zoo's mission. The Event Sales Representative plays a key part in building lasting community partnerships and driving revenue, advancing the Zoo's vision through meaningful engagement and impactful private events.
Full-Time employees receive our comprehensive compensation package which includes 100% employer paid Medical/Dental/Vision, Employee Assistance Program, 401k, 10 Paid Holidays, Paid Sick and Paid Vacation time on an accrued basis. The pay range for this position is $68,640 - $69,000 per year. Offers will be based on the successful candidate's experience.
Essential Accountabilities
Actively sells and promotes private event spaces and upgrades to maximize revenue, using effective sales techniques to meet or exceed sales targets.
This position spends 60% of the time away from the employer's place of business selling event offerings. The other 40% of the time is spent in the office.
Promptly responds to group event inquiries via phone, email and web platforms providing timely and professional communication that encourages clients to choose the FCZ as their event destination.
Conducts venue tours for prospective clients, highlighting available spaces and event experiences
Prepares customized event proposals and quotes based on client needs and Zoo offerings.
Closes sale through effective follow up, relationship building and negotiations.
Maintains and updates a pipeline of leads, tracking progress in booking software or spreadsheets
Collaborates with the Director of Membership and Events to devise event packages and seasonal offerings
Works to meet or exceed quarterly and annual sales targets
Serves as the primary point of contact during the sales process, from inquiry to signed contract
Secures signed agreements, processes deposits, and ensures all booking information is accurate and complete
Coordinates the internal handoff of event details to the events execution team for planning and day-of logistics
Communicates clearly with clients about the next steps, Zoo policies, and point-of-contact for execution.
Occasionally assists on-site during high-profile or complex events to ensure an exceptional client experience
Occasionally provides support for all other Zoo events as needed, including event coordination and on-site assistance.
Occasionally observes event execution for quality assurance and to better inform future sales conversations
Tracks and reports on booking trends, revenue performance, and client feedback
Participates in strategy meetings to improve sales processes and optimize event offerings
Supports the development and refinement of sales materials, pricing sheets, and packages
Assesses staffing needs for each event, including Event Set-Up, Custodial, Education, Animal Care, and all Zoo departments. Ensures timely communication so each department can plan and prepare accordingly.
Work closely with the Zoo's internal catering team to design and execute customized event menus and ensure top-quality service for each event.
Foster and sustain positive client relationships by delivering outstanding customer service and prompt communication, ensuring a smooth and satisfying planning experience.
Consistently provide top-tier customer service and exhibit professionalism while effectively managing a large client portfolio.
Under the direction of the Director of Membership and Events, collaborates with the marketing team to help promote the Zoo as a premier event destination in the Central Valley, assisting with promotional materials and sales campaigns.
Ensure that budgets are adhered to and that all expenditures are approved in line with departmental guidelines.
Maintain a clean and organized event space, ensuring it is always ready for client use and adheres to safety and operational standards.
Ensure post-event follow-up with clients to gather feedback, address any concerns, and build long-term relationships for repeat business.
Stay up to date on industry trends and best practices in event sales and planning to continually enhance the Zoo's event offerings and guest experience.
Identifies sponsor prospects from the private and public event sales pipeline to handoff to development for cultivation and gift closing.
Ability to safely operate a vehicle for business purposes including but not limited to going to and from the zoo's facilities and offsite.
Perform additional responsibilities as assigned to support team and organizational goals.

Education and Job Qualifications Bachelor's degree in hospitality, marketing or related field, or equivalent combination of education and experience required.
Minimum three years of event planning, hospitality or sales required
Proficiency with Microsoft Office suite is required.
Highly organized and comfortable with planning across multiple teams and vendors.
Self-starter, who can work independently and proactively to resolve issues.
Excellent written and verbal English communications skills required. Bilingual communication skills a plus.
Strong organizational skills, attention to detail, and a passion for delivering outstanding service to every guest are required.
California driver's license, valid vehicle insurance, enrolled in the CA Employer Pull Notice program and successful completion of the FCZ Drivers Training Program required.

The employee is regularly required to lift and/or carry up to 15 pounds, occasionally up to 25 pounds.
WORK ENVIRONMENT This position functions both indoors and outdoors, with exposure to heat, cold, inclement weather, Zoo environments and external events.
The employee may be exposed to environmental substances such as dust/dirt from Zoo grounds.
The position could work in close proximity to Zoo animals.
Regular local travel and occasional out-of-town travel may be required.
Ability to work extended hours, evenings, weekdays, weekends, and holidays.
