Position Title: Customer Service and Administrative Assistant
Status: Temp - 4 months
Location: Mid-town Manhattan, New York City
Hours: Mon-Fri, 8:30 am- 5 pm
Pay: $24/hr
Job Summary:
Established Publishing Company is seeking a Customer Service and Administrative Assistant to oversee customer service for 3 ecommerce websites and provide general office administrative and front desk support for a 40+ person office.
Essential functions:
Provide exceptional customer service support for three ecommerce sites using Gorgias
Respond promptly to customer inquiries via company channels, email and chat
Ensure customer satisfaction, including processing orders and requests, such as missing pieces, quality complaints and replacement orders, including communication with our warehouse
Answer incoming phone calls to the company's customer service phone line Mon-Fri 9am-5pm EST
Order and manage office supplies including kitchen, lunchroom, work supplies, conference rooms, and bathrooms
Assist with requests for product donation and charitable contributions
Greet visitors and coordinate meeting room schedules, set-up and clean up after use
Act as the key contact for building management for building issues
Organize outgoing and incoming mail from all carriers
Execute administrative office communication regarding announcements as directed
Work closely with IT in the on-boarding and off-boarding processes
Prepare expense reports for President and Director of Marketing
Assist in Office Holiday party planning. Make reservations, etc.
Assist in arranging delivery of gifts and maintaining gift list
Minimum Qualifications : Prior customer service and/or administrative experience.
Preferable knowledge of Gorgias, Zendesk, Shopify or similar software
Tech-savvy with experience in E-Commerce
Ability to prioritize and manage time effectively to meet deadlines
Excellent written and verbal communication skills
Strong organizational skills and exceptional attention to detail
Proficiency in Microsoft Word and Excel required
Personable, able to work independently
