Administrative Assistant in the Office of Accessibility Resources The Administrative Assistant in the Office of Accessibility Resources is responsible for providing support to OAR's daily operations and programming efforts, including student accommodation processes. In close collaboration with other professional staff, this role will ensure compliance with applicable laws and regulations regarding student accommodations while providing exceptional customer service to OAR patrons and Carleton community members. The expected starting hourly range for this position is between $22.40 and $23.10. Actual pay will be adjusted based on job-related factors permitted by law, such as experience and training; licensure and certifications; market factors; departmental budgets; and responsibility. Customer Service and Office Support Greet visitors to OAR and answer general questions about department resources and procedures. Notify OAR staff of students in need of appointments and assist with scheduling. Monitor office supplies and serve as point person for supply orders. Coordinate OAR student worker schedules. Accommodation Support Process accommodation renewals in a timely manner at the beginning of each Carleton term. Follow up with students and faculty regarding specific accommodation paperwork, including attendance agreement forms, assignment deadline extension agreements, and lecture recording agreement forms. Ensure that students with text in an alternative format accommodations have access to course materials via Learning Ally, Bookshare, Read & Write, and other platforms. Manage daily operations for OAR's testing center: directing test-takers to assigned seating, distributing/collecting exam materials, contacting faculty to address student questions, providing time checks, and additional recordkeeping. Assist OAR staff with preparing, administering, and proctoring final exams during designated exam days on campus. Serve as liaison between ITS to ensure that student's assistive technology needs are being met, especially those that relate to an approved accommodation. Respond to requests for captioned video for student accommodation needs. Programming Support Assist with creation and distribution of promotional materials for campus programming, including one-time programs and ongoing mentoring opportunities. Reserve event spaces for programming and staff meetings. Order programming supplies and refreshments. Manage OAR's equipment loan program, including follow up with repairs and assisting students when they pick up and return equipment. Education/Experience/Skills Required: 2 years of experience with some post-high school education, or 5 years of experience Excellent organizational and time management skills. Strong attention to detail and accuracy. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite. Must have the ability to understand and follow written and oral work instructions, operations, safety procedures, and hazardous labels. This position description is not intended to be all-inclusive.
